    Job Description

     Slaughter, Reagan & Cole, LLP, a mid-size, AV rated, Ventura County business litigation and insurance defense firm, is seeking a motivated and team-oriented Law Office Administrator/Office Manager (“LOA”). Our LOA is responsible for Firm administration, support functions, managing non-lawyer personnel, systems management.

    Specific responsibilities include:

    • Manage all staff, ensuring compliance with Firm policies.
    • Supervises and establishes policies and procedures to facilitate the efficient operation of all IT systems, automated and manual administrative systems.
    • Manages the Firm’s legal files and other vital records, such as archives.
    • Monitor and equalize workflow among staff to ensure that everyone is able to work at a good and fair pace, producing work in a timely manner.
    • Maintain a current knowledge of employment laws and regulations and advise the Firm’s partners and management of developments.  Ensures compliance with wage and hour and other governmental laws and regulations.
    • Maintain and update Employee Manual to ensure compliance with employment laws and regulations.  Ensure that all employees are familiar with the Firm’s policies.
    • Hiring attorney and administrative staff, orient new employees including training of administrative staff.
    • Manage the Performance Appraisal program for attorneys and non-attorneys.
    • Manage employee relations.
    • Assist with salary and compensation program for staff.
    • Administer Firm benefits programs (includes health, dental, long-term disability insurances and 401(k) plan).
    • Calculate and input payroll.
    • Maintain Firm’s official personnel-related records.
    • General supervision of accounting functions and ability to assist accounting personnel with billing, check requests, etc.
    • Administers all insurance programs administered and maintained by the Firm, including professional and comprehensive liability insurance. 
    • Manage the Firm’s Website and domain names.
    • Plan and coordinate special Firm events

     EDUCATION, EXPERIENCE AND SKILLS REQUIRED

    • Bachelors in Human Resources and/or Administration preferred. 
    • Any combination of education and experience sufficient to demonstrate knowledge of employment laws and the ability to perform the duties specified above successfully.
    • Prior legal secretary experience is preferred. 
    • Ability to multitask and prioritize
    • Knowledge of Microsoft Office Suite and legal applications, such as document management, calendaring, practice management, and billing.
    • Knowledge of math sufficient to calculate compensation and payroll-related data.
    • Knowledge of software applications, file handling, required legal support functions, IT environment, professional staff's legal requirements, and duties to client.
