Responsibilities:
As an Office Manager / Secretary at STAVBA Group Inc, you will play a vital role in ensuring the smooth operation of our office and providing essential administrative support to our team. Your responsibilities will include:
Administrative Support:
Provide administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
Assist in preparing reports, presentations, and other documents as needed.
Handle correspondence and maintain organized filing systems.
Office Operations:
Oversee day-to-day office operations, including office supplies, equipment maintenance, and vendor management.
Ensure the office is well-organized and presentable for visitors and staff.
Manage incoming and outgoing mail and packages.
Communication:
Serve as a point of contact for internal and external communications.
Screen and direct phone calls and emails to the appropriate team members.
Facilitate effective communication within the office.
Meetings and Events:
Assist in planning and coordinating office meetings, events, and functions.
Arrange catering, set up meeting rooms, and ensure all logistics are in place.
Data Management:
Maintain and update contact lists, databases, and records.
Assist in data entry and data management tasks as required.
Travel Coordination:
Coordinate travel itineraries, bookings, and accommodations for team members and visitors.
Office Policies and Procedures:
Assist in developing and implementing office policies and procedures to enhance efficiency.
Ensure compliance with company policies and regulations.
Qualifications:
To excel in this role, you should possess the following qualifications:
Bachelor's degree in business administration, office management, or a related field (relevant experience may be considered in lieu of a degree).
Proven experience in office management, administrative support, or secretarial roles.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Attention to detail and the ability to multitask effectively.
Strong problem-solving skills and the ability to work independently.
