    ABOUT THE ROLE

    Norman Design Group is seeking a high-performing administrative professional who is exceptionally organized, proactive, and capable of managing a wide range of responsibilities with precision, professionalism, and discretion.

You will serve as a central support person to leadership, our design teams, purchasing, operations, and client-facing administrative functions.

    EXPERIENCE REQUIREMENTS

    Required Experience

    Minimum 3+ years of administrative, executive assistant, office management, operations coordination, or studiocoordination experience

    Experience supporting leadership and/or multiple departments simultaneously

    Experience working in a fast-paced professional office environment

    Strong Microsoft Excel skills, including spreadsheets, formulas, and tracking systems

    Proficiency in:

    Microsoft Office Suite

    Google Workspace

    Calendar scheduling and coordination tools

    Digital filing and document management systems

    General office software and technology platforms

    Preferred Experience

    ADP Payroll

    Accounts Payable / vendor payment processing

    PTO / employee administrative tracking

    Insurance and business license coordination

    Marketing coordination support

    Education

    Associate degree preferred

    CORE RESPONSIBILITIES

    Administrative & Operational Support

    Manage day-to-day office administration and operational support

    Support leadership with scheduling, appointments, and occasional travel coordination

    Manage incoming communications, correspondence, documentation, and filing systems

    Maintain office organization, supply inventory, and overall studio presentation

    Support internal systems, processes, and general office functionality

    Leadership & Team Support

    Provide direct support to the Principal, Design Director, Purchasing Manager, and design teams

    Disseminate information and coordinate task follow-up as directed

    Organize meeting notes, action items, and project-related communications

    Assist with cross-department communication and coordination

    Vendor & Purchasing Coordination

    Maintain vendor communication and follow-up

    Process vendor payments and accounts payable support

    Support purchasing administration and procurement coordination

    Assist with deliveries, shipping logistics, storage coordination, and installation support

    Client Experience Support

    Greet clients and visitors in a warm, professional manner

    Manage inbound calls and client inquiries

    Assist with administrative client communications, contracts, and documentation

    Help create a polished, seamless client experience reflective of our brand

    Business Operations Support

    Support payroll administration

    Track PTO, sick time, and light HR administrative functions

    Assist with maintaining insurance policies, licenses, and administrative compliance

    Support light bookkeeping and financial administrative coordination

    Assist with special operational initiatives and leadership projects

    Marketing & Studio Support

    Coordinate with leadership on marketing-related administrative tasks

    Help organize project photography, project details, and communication with marketing partners

    Support studio events, gifting initiatives, holiday outreach, and internal celebrations

    REQUIRED ABILITIES

    HOURS & WORK SCHEDULE

    Part-Time Position 20–25 hours per week

    Expected schedule: Monday through Friday Approximately 4-5 hours per day Within standard office hours of 8:30 AM – 5:30 PM

    This is an in-person position based in our Torrance studio.

    Flexibility may occasionally be required based on installations, project deadlines, or business needs.

    COMPENSATION

    $28–$30 per hour Compensation will be based on experience, qualifications, and relevant industry background.
