Office Administrative Assistant
Downtown Los Angeles
Renowned landscape architecture firm is seeking a full-time Administrative Assistant for its Downtown Los Angeles studio. We are a company of leading designers, planners, and professionals with studios in Southern and Northern California, Texas, New York, and Shanghai.
The qualities we look for include the ability to multi-task, handle deadlines, and to assist with day-to-day office operations and marketing activities. Administrative Assistant reports directly to the Managing Principal.
JOB RESPONSIBILITIES
A. OFFICE RESPONSIBILITIES
- Provide high quality administrative support services to professional staff
- General oversight of studio operations, including studio cleanliness, minor maintenance upkeep, filing and organizing studio supplies and resources, keeping things in general good order.
- Maintain conference room schedule and room preparations.
- Handle outgoing and incoming mail and packages.
- Direct incoming calls to appropriate staff members.
B. ADMINISTRATIVE RESPONSIBILITIES
- Create documents from existing templates.
- Complete and oversee word processing requests and creation of contracts and proposals.
- Assist the business development manager in coordinating and assembling all materials and information relating to marketing proposals and marketing materials.
- Coordinate and organize office-wide events or meetings.
C. SKILLS AND EXPERIENCE
- Applicants should possess a proven ability to meet multiple deadlines in a fast-paced, high energy creative office environment. We are looking for a proactive, resourceful self starter, with the ability to prioritize workload.
- Efficient organizational skills and excellent attention to detail. Proficiency in PC-based computer software including Microsoft Office (Word, Excel, PowerPoint, Outlook, Microsoft Project).
- Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign, and/or Acrobat) is required.
- Min. 2 years of experience in a similar administrative-type position.
- Previous office management experience preferred.
- 4-year college degree in Business Administration or Accounting (strongly preferred).
COMPENSATION
