    SWA Group is seeking a full-time Marketing / Executive Assistant for its Downtown Los Angeles studio. The primary responsibility will be to assist the CEO and Managing Principal in day-to-day inquiries including new project pursuits, client communications, and contract and proposal follow-ups. In the marketing capacity, this person is responsible for putting together proposals that include a written scope of services, fees and legal contract language, as well as communicating with potential clients in obtaining information needed to complete the tasks. Related responsibilities include tracking Accounts Receivables for various projects within the office, and coordinating with the Accounting Department. The ideal candidate is quick on their feet, a go-getter, demonstrates tact and professionalism, and great at multi-tasking. The studio is a fast-paced environment in which multiple priorities can converge; thus being clear-minded in sorting through tasks is of utmost importance.

    Below are the skills/tasks that are part of the job description:

    MARKETING / EXECUTIVE ASSISTANT JOB RESPONSIBILITIES

    • Draft and finalize proposals/contracts according to CEO and Managing Principal's direction and based on corporate templates. Experience with Adobe InDesign, excellent writing skills, and an eye for graphic composition is a must.
    • Create bi-annual graphic materials for firmwide communication and maintain project portfolios.
    • Communicate with firmwide Marketing group via bi-monthly calls and provide regular updates on status of proposals, upcoming events, meetings and overall company communications.
    • Communicate with Accounting in regards to Accounts Receivables/Payable; maintain communication with other corporate groups including: Executive Committee and Accounting.
    • Provide corporate-wide assistance including: acting as a gatekeeper of the executives' schedule, setting up executive meetings, managing corporate email accounts, receiving and distributing corporate materials.

    MARKETING / EXECUTIVE ASSISTANT JOB REQUIREMENTS

    • Bachelors degree
    • Experience in drafting contracts and fee proposals
    • Excellent organization, writing and interpersonal skills
    • Excellent innovation and creativity skills
    • Five years of experience in marketing assistant/administrative job, in support of senior manager
    • Proven track record of success in a high performance environment
    • Proficiency in Microsoft Office (Excel, Word, Power Point and Outlook)
    • Adobe Suite (Photoshop, InDesign, Illustrator)
