    Description:

    The Administrative Assistant will provide high-quality administrative and clerical assistance to VP. The Administrative Assistant’s main duties include corporate services and supporting the VP. To be successful in this role, you should be proactive, meet deadlines and communicate effectively. Our ideal candidate also has previous experience as an Administrative Assistant and is familiar with office management technologies. Ultimately, you should be able to identify and address the needs of Saf-T-Swim executives and perform administrative tasks to ensure our company’s workflow runs smoothly.

    Reports to: Vice President of Saf-T-Swim

    Responsibilities:

    Coordinate schedules and meetings for VP, District Managers, and Managers

    Plan appointments and events

    Act as the point of contact between Corporate office and employees/clients

    Create regular reports and update internal databases

    Create and update excel spreadsheets and documents in support of the business · Respond promptly to managers’ queries

    Facilitate internal communication (e.g., distribute information and schedule presentations, certifications and trainings)

    Support Human Resources and Facilities through documentation of policies and processes.

    Complete all necessary paperwork, licenses, permits, OSHA, Quality Assurance documents.

    Maintain and update inventory in Square; order office supplies, uniforms and coordinate with the locations to ensure they are in stock on all necessary supplies.

    Suggest more efficient ways to run the office and troubleshoot equipment malfunctions with IT support.

    Take minutes during meetings.

    Do periodic bank runs.

    Other Duties:

    Performs other duties as assigned by management.

    Requirements Required:

    Knowledge of office procedures

    Solid experience with office management systems and MS Office – must be proficient in Excel, PowerPoint and Word.

    Familiarity with online calendars and cloud systems

    Experience using office equipment, including printers and fax machines

    Strong communication skills (via phone, email and in-person)

    Experience exercising discretion and confidentiality with sensitive company information

    Excellent organizational skills with an ability to think proactively and prioritize work

    High school degree; additional qualifications as Personal or Administrative Assistant a plus.

    Hours: Part-time position up to 28 hours per week
