    JOB SUMMARY

    Sage Therapy Chicago is a private mental health group practice seeking to hire an Office Manager and Administrative Assistant to join our growing organization! We are looking for an enthusiastic, warm and personable professional who will assist us in managing and running the back end of the business, be Responsible for effective and efficient clinical operations and at times assisting in welcoming and scheduling new clients. The Practice Manager will also help develop standards to help ensure optimal workflow and smooth operations within the practice. This position will work closely with the Owner and is the perfect opportunity for those looking to advance their career into health care and office operations.

This position includes competitive pay and flexibility with regard to total number of hours and available days and times. While this position is now only part time, we are hoping to find someone who wants to grow alongside our organization and potentially become full time as a director of operations. Full time positions include benefits such as health insurance and 401k plans.

    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

    OVERALL

    • Help manage daily operations within the practice.

    • Collaborate, consult and work alongside the practice owner to achieve practice growth goals; Weekly meeting with Practice Owner

    • Manage and maintain required compliance items including, but not limited to HIPAA.

    • A large part of this position will be to work with and support the Owner and Clinical Leadership Team.

    • Demonstrates appropriate troubleshooting/problem resolution skills related to practice processes and workflow.

    • Help Answer incoming calls and emails; Respond to emails and calls quickly

    • Help schedule consultations/first time appointments with therapists who are currently taking new clients.

    • Create Spreadsheets and Track Data

    • Knowledge of EHR and practice management program (Therapy Notes) and training staff as appropriate on application usage and features

    • Ensures regulatory compliance to include credentialing of professional/licensed staff,

    • Assist in recruitment, hiring, orientation, and evaluation of all employees.

    • Tracks and monitors employee Time and Attendance, monitor patient volumes and retention and ensure patient satisfaction.

    • Ensures regulatory compliance with Federal and/or State authorities, as well as any external governing authority.

     

    REQUIREMENTS

    • Interest in Mental Health

    • Experience in administration and operations

    • Ability to create spreadsheets and track data; Tech Savvy

    • Great verbal and written communication skills

    • Writing and Editing Skills

    • Professional, forward-thinking, collaborative and kind

    • Great organization skills and detail oriented

     

    IDEAL PROFILE

    • High School diploma, Associates’ or Bachelor’s degree

    • Adherence to standards of service operations, documentation, and confidentiality at all times;

    • Must be independent, driven, open-minded, compassionate, interpersonal, and a team player;

    • Must be interested and excited to be part of a growing practice;

    • Embrace a growth mindset - you feel confident in your abilities and are also willing to learn;

    • Have excellent interpersonal skills and organizational/time management skills;

    • Ability to use electronic/digital devices and applications

    • Experience in a healthcare setting preferred

    • Previous physician management experience preferred

    • Financial management, operations management, and Electronic Medical Record experience preferred

    JOB TYPE: PART-TIME WITH THE OPPORTUNITY TO GROW TO FULL TIME.

    SCHEDULE:

    • Experience with making spreadsheets to track necessary data

    • Experience with Therapy Notes ideal but not necessary
