    Pay: $21.00 per hour

    Position Summary

    The Sales & Catering Coordinator plays a key administrative and client-facing role supporting the Sales and Catering team at the DoubleTree Hotel in Portland. This individual helps ensure seamless execution of group sales and catering events by managing communication, documentation, and coordination across departments. The ideal candidate is detail-oriented, service-driven, and thrives in a fast-paced hospitality environment.

    Key Responsibilities

    • Provide administrative support to the Sales and Catering departments, including contract preparation, event orders, reports, and client correspondence

    • Maintain and update group files, databases, and event tracking systems (e.g., Delphi/FDC or similar systems)

    • Assist with the planning and coordination of meetings, conferences, banquets, and other hotel-hosted events

    • Serve as a liaison between the Sales, Catering, Banquets, and Culinary teams to ensure flawless execution of client expectations

    • Respond to client inquiries, prepare proposals, and ensure timely follow-up on leads and event details

    • Coordinate site tours, client visits, and pre-convention meetings

    • Manage invoicing, deposits, and billing-related documentation in collaboration with the accounting team

    • Provide excellent guest service and maintain strong client relationships

    • Support departmental goals by maintaining organization, accuracy, and a proactive approach to challenges

    Qualifications

    • High school diploma or equivalent required; associate degree or higher in hospitality or related field preferred

    • Previous experience in hotel sales, catering, or event coordination highly preferred

    • Strong administrative and organizational skills with attention to detail

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with Delphi or hotel sales software is a plus

    • Excellent verbal and written communication skills

    • Ability to multitask, prioritize work, and meet deadlines

    • Strong interpersonal skills and commitment to guest satisfaction
