    The Sales Coordinator provides administrative and operational support to the Sales Team for both Moxy Cincinnati Downtown and Aloft Newport on the Levee. This role is responsible for coordinating sales activities, managing client communications, maintaining sales systems, preparing contracts and proposals, and ensuring a seamless experience for group, corporate, and event clients from inquiry through execution. The Sales Coordinator serves as a key liaison between sales, operations, and guests while helping drive revenue growth and customer satisfaction across both properties. Responsibilities: Sales & Administrative Support • Provide day-to-day administrative support to the Director of Sales & Marketing and Sales Managers. • Prepare proposals, contracts, banquet event orders, group resumes, and other sales-related documents. • Maintain accurate client and account information within hotel sales systems (Delphi, CI/TY, or other CRM platforms). • Process leads, inquiries, and requests for proposals (RFPs) in a timely manner. • Coordinate site inspections, client meetings, and hotel tours. • Assist with preparing monthly reports, sales activity tracking, and revenue forecasts. • Manage electronic and physical filing systems for contracts, correspondence, and sales records. Client & Guest Relations • Respond promptly and professionally to client inquiries via phone, email, and in person. • Serve as a point of contact for clients during the planning process. • Coordinate communication between clients and hotel departments to ensure successful event execution. • Assist in resolving guest and client concerns while maintaining a high level of customer service. Group & Event Coordination • Work closely with Operations, Front Office, Housekeeping, and Food & Beverage teams to communicate group and event details. • Assist with rooming lists, group blocks, event logistics, and billing arrangements. • Ensure all group information is accurate and distributed to hotel departments. • Attend weekly sales and operations meetings as needed. Marketing & Revenue Support • Assist with social media partnerships, promotional efforts, and local networking initiatives. • Support prospecting efforts and account management activities. • Help coordinate participation in community events, trade shows, and industry networking opportunities. • Maintain sales collateral, promotional materials, and presentation resources. Qualifications: • Associate's degree or equivalent experience preferred. • Minimum 1 year of administrative, hospitality, sales, or customer service experience preferred. • Hotel sales experience strongly preferred. • Experience with Marriott systems, Delphi, CI/TY, Opera, or similar platforms is a plus. • Strong organizational skills with exceptional attention to detail. • Excellent written and verbal communication skills. • Ability to manage multiple projects and deadlines in a fast-paced environment. • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
