    Your role is to help them feel understood, guide them through the first steps of our process, and help them confidently move toward getting the help they need.

    Core Responsibilities

    Lead Follow Up

    Contact new leads who inquire about our services through referrals, social media, Google, events, and marketing campaigns.

    Discovery Call Scheduling

    Guide qualified leads toward scheduling a Discovery Visit and help them understand what makes Catalyst different.

    Appointment Confirmation

    Confirm Discovery Visits, Evaluations, and other appointments to reduce no-shows.

    Re-Engagement

    Follow up with past leads, inactive prospects, and people who previously expressed interest but never moved forward.

    CRM Management

    Maintain accurate records in HighLevel CRM including:

    • Notes
    • Communication history
    • Lead status
    • Follow-up tasks
    • Appointment outcomes

    Communication

    Respond to phone calls, texts, emails, and social media inquiries professionally and promptly.

    Team Collaboration

    Work closely with our clinicians, marketing team, and leadership to improve the patient experience and increase conversions.

    Success In This Role Looks Like

    Within 90 Days:

    • Consistently managing all inbound leads
    • Maintaining CRM accuracy above 95%
    • Scheduling qualified Discovery Visits consistently
    • Achieving attendance rates above 80%
    • Contributing ideas to improve conversion rates and patient experience

    Long-Term:

    • Becoming a trusted guide for prospective patients
    • Driving growth through exceptional communication
    • Helping Catalyst become the go-to performance and rehab provider in Utah

    Skills & Qualifications

    Required:

    • Excellent communication skills
    • Strong organizational abilities
    • High attention to detail
    • Comfortable on the phone
    • Ability to manage multiple conversations and follow-up tasks simultaneously
    • Positive attitude and growth mindset

    Preferred:

    • Experience in sales, customer service, appointment setting, or patient coordination
    • Experience using CRM software
    • Experience in healthcare, fitness, wellness, chiropractic, physical therapy, or performance training industries
