Our team is growing, and we are looking for a motivated individual to join our team as Sales Operations Administrator. This position oversees the sales order lifecycle from purchase order receipt to final invoicing and product delivery and is the main point of connection between the outside sales team, the manufacturing team, and the shipping team. This position requires an overall understanding of company processes and context from the initial proposal stage to invoicing to collecting. This is a full-time, non-exempt position with benefits. Previous experience is preferred but not required.
ESSENTIAL FUNCTIONS:
• Act as a liaison between our distribution center, sales team, and customers providing accurate and timely information regarding sales orders.
• Receive and process purchase orders and Return Merchandise Authorization (RMA's).
• Verify accuracy of purchase orders related to pricing and availability, communicate any requests for changes back to Sales Managers.
• Intake purchase orders and process them through the company accounting portal, build plan and other appropriate reports.
• Keep updated and accurate spreadsheets and create reports as needed.
• Work in conjunction with Accounting, Operations and Sales departments.
• Communicate in a timely manner with customers and/or sales team regarding status of orders.
• Work with other departments providing support and information as needed.
• Keep track of shipments independently and create & send accurate invoices based on proper shipping terms.
• Follow up with customers with past due accounts receivable.
• Perform other duties as requested.
WHO YOU ARE:
• Bachelor's degree or high school diploma plus two years of related experience
• Effective communicator with the ability to adapt messages and interact with all areas of an organization, internal and external.
• Proficient with Microsoft Office Suite
• Extreme attention to detail
• Strong written and verbal communication skills
• Confident, personable individual that can work independently
• Self-starter with ability to work in a fast-paced environment
• Knowledge of administrative procedures
• Familiarity with an ERP and Acumatica a plus
