Job Summary
The Sales & Project Coordinator serves as a central facilitator and "point guard", supporting the sales team, distributor network, service, automation, logistics, and international headquarters. This hybrid role combines inside sales coordination (creating proposals, processing orders, and providing distributor/customer support) with light-to-moderate project management for capital equipment orders, service projects, automation solutions, trade shows, and events. The position ensures smooth coordination from proposal through delivery and pre-installation, acting as a key liaison across departments, time zones, and stakeholders.
Responsibilities
- Create proposals and quotes for the sales network and distributors.
- Enter equipment and software orders into company systems and manage purchase orders and invoicing.
- Follow up on requests from the sales network, communicate project status with colleagues, and provide ongoing coordination for orders from proposal to delivery.
- Support marketing initiatives, including lead distribution and preparation of materials for distributor open houses or related events.
- Facilitate customer and distributor visits to the office/showroom, schedule in-person, video, and remote demos, and manage machine inventory with regular updates to the sales network.
- Provide administrative and project management support to the service and automated solutions teams, including attending project meetings, tracking tasks, and coordinating logistics (e.g., component changes, Factory Acceptance Tests, and pre-install preparations).
- Act as the internal coordinator for events, showroom demonstrations, and international communications, while occasionally handling light physical tasks such as moving tooling or components in the showroom.
Requirements
- College degree or equivalent work experience.
- Five or more years of related experience in a B2B industrial environment, preferably supporting sales coordination or inside sales for complex capital equipment or sophisticated machinery (e.g., industrial automation, conveyors, or similar).
- Demonstrated experience managing or actively coordinating projects, including defining goals, stakeholders, timelines, deliverables, and communication flows
- Familiarity with project management practices and tools (e.g., Smartsheet, Asana, or equivalent structured frameworks).
- Excellent written, verbal, and presentation skills, with strong ability to communicate and translate technical information across engineering, sales, distributors, customers, and international teams.
- Advanced computer skills, including strong proficiency in Excel; ability to calculate figures such as discounts, commissions, and percentages, and apply basic algebra and geometry concepts.
- Ability to read and interpret legal documents and financials.
- Exceptional organizational skills, attention to detail, self-management, initiative, persistence, and ability to juggle multiple concurrent activities and stakeholders.
- Highly communicative team player comfortable with frequent interaction via phone, email, Teams, and in-person in a small, collaborative office setting.
Preferred Requirements
- Knowledge of the metal fabrication industry or adjacent sectors.
- Language skills in Spanish and/or French.
- Experience with Smartsheet or similar project tools.
- Comfort with lightly physical tasks in a showroom environment.
Compensation/Benefits
- Target base salary range: $90,000–$100,000, with flexibility up to approximately $110,000 for exceptional experience and fit
