We are a fast-paced and growing wholesale produce company looking for a Sales & Accounting Support Specialist to join our team. In this key role, you’ll provide critical support to both our sales and accounting teams to help ensure seamless service for our customers and partners.
POSITION SPECIFICS
Compensation Information: $23-$25/hour
Schedule/Shift Information: Monday through Friday, 8am-5pm. Full time, onsite position.

ESSENTIAL FUNCTIONS OF THE ROLE
- Responsible for monitoring and maintaining assigned accounts- follow up with sales team, customer calls, order entry and adjustments, scheduling appointments, and processing credit memos.
- Must communicate & follow up effectively with sales staff regarding customer accounts on a timely basis.
- Communicate customers’ needs with the warehouse and production departments.
- Review shipping records for accuracy and shortages and respond accordingly.
- Maintain direct communication with customers to assist them with their needs and to reconcile any store level complaints.
- Ensure orders are confirmed accurately in both internal and external systems. Review and resolve errors/discrepancies as needed.
- Participate in team planning meetings.
- Filing, copying and miscellaneous office tasks as assigned.
- Review daily aging for assigned accounts over 60 days and contact customers to resolve.
- Review billbacks and deductions; verify accuracy, request backup, issue credits or file disputes as needed.
- Compile backup information related to promotional deductions, organize and present to accounting team for adjustment.
- Compile information related to short payments, review with sales team or reach out to customers as needed.
- Assist in identifying persistent collection issues and reducing delinquency for assigned accounts.
- Enlist the efforts of sales and senior management when necessary to accelerate the collection process.
REQUIRED QUALIFICATIONS AND SKILLS
- High School Graduate or General Education Degree (GED)
- 6+ months of experience
- Strong attention to detail and tenacious follow-up
- Commitment to excellent customer service
- Excellent written and verbal communication abilities
- Ability to prioritize and manage multiple responsibilities.
- English – proficient in business writing and verbal communication
- Proficient in Microsoft Office (Outlook, Word, and Excel).
- Ability to learn internal and external order management systems.
- Ability to perform work accurately and thoroughly.
PREFERRED QUALIFIFCATIONS AND SKILLS
- Accounts Receivable knowledge/experience
- Customer Service knowledge/experience
- Experience with Produce Pro or other ERP systems
PHYSICAL REQUIREMENTS
- Be able to sit and work at a computer for 8 hours a day with the ability to complete data entry.
- Ability to make and receive phone calls.
