    Role Overview

    The Sales Support & Deal Desk Specialist is a critical shared resource supporting multiple salespeople, business units, customers, vendors, and internal teams in a lean, fast-moving sales environment. This is not a quota-carrying sales role, and it is not a generic administrative assistant position.

    The primary purpose of this role is to protect seller time by owning quote creation, proposal organization, opportunity hygiene, deal desk coordination, and sales-related follow-up — freeing sellers to focus on prospecting, uncovering new opportunities, building customer relationships, and closing business.

    This person will prevent sellers from spending valuable selling time writing small transactional quotes, organizing replacement product requests, chasing part numbers, formatting proposals, or managing administrative sales follow-up. While technical product knowledge is helpful, organization, accuracy, quote writing, follow-through, and deal coordination are the most important qualifications for success in this role.

    Key Responsibilities

    Quote & Proposal Support

    • Prepare, organize, and maintain customer quotes, proposals, and related sales documents.

    • Assist sellers with quotes for hardware, software, services, supplies, consumables, accessories, replacement products, and project- based opportunities.

    • Review quote requests for completeness, pricing accuracy, part numbers, quantities, margins, lead times, customer details, and supporting information.

    • Coordinate with vendors, distributors, operations, and sales team members to gather pricing, availability, product details, and documentation.

    • Help standardize quote and proposal formatting.

    • Track open quotes and assist with quote follow-up visibility.

    Deal Desk & Opportunity Management

    • Support opportunity creation, updates, and maintenance within the CRM or sales management system.

    • Help ensure opportunities include accurate customer information, products, quantities, close dates, next steps, notes, and ownership.

    • Assist with deal registration, pricing requests, special bid requests, approvals, and vendor/distributor coordination.

    • Monitor opportunities for missing information, aging activity, stale close dates, incomplete next steps, and process gaps.

    • Help keep the sales pipeline accurate, organized, and actionable.

    • Prepare deal summaries, quote summaries, and opportunity details for internal review.

    Sales Process Support

    • Serve as a central intake point for sales support tasks that need organization, follow-up, or administrative execution.

    • Support replacement product requests, reorder quotes, accessory quotes, consumable quotes, service quotes, and other transactional sales needs.

    • Coordinate handoffs between sales, operations, purchasing, technical support, vendors, and leadership.

    • Assist with customer forms, vendor forms, account setup documentation, credit applications, resale certificates, tax exemption documents, and related sales administration where applicable.

    • Identify recurring process issues and recommend practical improvements.

    Customer & Internal Communication

    • Communicate professionally with customers, vendors, distributors, partners, and internal stakeholders.

    • Request missing information from sellers or customers when needed.

    • Provide timely status updates on quotes, pricing requests, vendor responses, and outstanding action items.

    • Ensure customer-facing sales documents are accurate, clear, and professionally presented.

    Reporting & Organization

    • Maintain organized records of quotes, proposals, pricing requests, opportunity notes, customer information, and supporting documents.

    • Assist with sales pipeline reporting, quote activity tracking, and opportunity hygiene.

    • Help leadership and sales teams understand what is open, what is stuck, what needs follow-up, and what requires escalation.

    • Support sales meetings by preparing quote lists, opportunity updates, open task summaries, and deal status information.

    • Contribute to sales support process documentation, templates, checklists, and workflows.

    Required Qualifications

    • 3+ years of experience in sales support, sales operations, deal desk, quoting, order support, customer service, inside sales support, or a related commercial support function.

    • Strong organizational skills.

    • High attention to detail.

    • Experience preparing quotes, proposals, sales documents, or customer-facing commercial documents.

    • Comfortable working in CRM, ERP, quoting, ticketing, or sales management systems.

    • Strong written and verbal communication skills.

    • Ability to manage multiple priorities, deadlines, quote requests, and follow-ups.

    • Ability to work with sales teams, operations teams, vendors, customers, and leadership.

    • Comfortable asking clarifying questions and pushing for missing information.

    • Ability to work independently and follow tasks through to completion.

    • Professional judgment and discretion when handling pricing, customer information, and internal deal details.

    Preferred Qualifications

    • Experience supporting sales teams in technology, hardware, industrial products, distribution, manufacturing, logistics, AIDC, printing, labeling, mobility, or related industries.

    • Experience quoting hardware, software, services, supplies, accessories, replacement parts, or consumables.

    • Experience with deal registration, special pricing requests, vendor/distributor pricing coordination, or bid support.

    • Familiarity with CRM and ERP workflows.

    • Basic understanding of margins, discounts, markups, freight, lead times, and commercial terms.

    • Experience supporting multiple salespeople or business units simultaneously.

    • Experience creating or improving templates, checklists, workflows, or sales process documentation.

    • Technical curiosity and willingness to learn product categories over time.

    • Fully onboarded on quoting tools, CRM/ERP systems, and core product and pricing structures.

    • Actively owning quote creation and proposal preparation for multiple sellers.

    • Demonstrated ability to track and maintain accurate, up-to-date opportunity records.

    • Established clear communication rhythms with sales, operations, and vendor contacts.

    • Identified at least one recurring process gap and proposed a practical improvement.

    • Recognized by sellers as a trusted resource who reliably protects their time.

    Work Environment

    This role operates in a professional, collaborative office environment supporting a lean and fast-moving sales team. The pace can be demanding, with shifting priorities and multiple simultaneous requests, requiring flexibility, resilience, and strong time management.

    Compensation

    The starting salary for this position begins at $55,000 and may be higher commensurate with experience and qualifications.
