    The Sanford Burnham Prebys (SBP) Cancer Center has a position opening for an ADMINISTRATIVE SPECIALIST.  Under direct supervision, the position provides general administrative support for the Cancer Center and the Cancer Center Director’s laboratory. The Administrative Specialist acts as a primary point of contact between the Cancer Center Director and other scientific and administrative departments.

    The position maintains and coordinates the Cancer Center Director’s schedule, including travel and event planning.  The Administrative Specialist assists with the preparation and management of research publications, processing personnel transactions and supporting Center operations. The position may assist with special projects and is expected to perform all duties with the highest attention to detail and professionalism.

    Primary Responsibilities

    Administrative Support

    • Schedules meetings and maintains the Cancer Center Director’s calendar, oversees daily operations of the Cancer Center Director’s office
    • Schedules and organizes multi-participant meetings, conferences, and speaking engagements and develops supporting materials such as agendas, records, and minutes
    • Arranges travel including lodging accommodations, transportation, and registration for meetings for Center members and external researchers
    • Processes and maintains statement and expense reports and oversees payment of invoices and reimbursements
    • Distributes mail and correspondence for the Center and Center Director’s lab. Drafts responses and replies to inquiries of both routine and non-routine nature
    • Prepares and edits content for documents and communications as requested including drafting correspondence, charts, reports, and tables. Proofreads copies for spelling, grammar, and layout, and makes appropriate changes
    • Provides support for lab and Center personnel actions with guidance from Human Resources

    Center Funding Support

    • Supports identification of funding opportunities for the Cancer Center Director and his associated lab members
    • Provides assistance with all processes associated with sponsored research including coordinating completion of funding application submissions for individual fellowships, investigator grants, CSRAs, or other awards

    Manuscript submission

     

     

     

     

     

    • Consults and performs functions associated with manuscripts/publications including proofreading, formatting, and submissions and maintaining scientific personnel bibliographies in various systems

     

    Required Skills Required Experience

    • High School diploma required and three years directly related administrative support experience OR equivalent training and/or experience from which comparable knowledge, skills, and abilities have been attained
    • Bachelor’s degree preferred
    • Previous experience in an academic or scientific research environment, grant management and administration, and event management is required

     Knowledge, Skills and/or Abilities

    • Experience with grant proposal and manuscript preparation
    • Familiarity with generally accepted accounting, fiscal and reporting principles
    • Work independently, as well as in a team environment, with minimal supervision and under strict deadlines while managing a number of operations in parallel
    • Professional proficiency with Microsoft Office, Adobe Acrobat, EndNote, Illustrator/Photoshop. Ability to learn department-specific computer systems as needed
    • Be responsible and have strong time management skills
    • Able to analyze and resolve issues of moderate complexity
    • Possess strong attention to detail and organizational skills
    • Demonstrate professional communication (written and verbal) and interpersonal skills
