  • Responsibilities

    GENERAL SUMMARY:

    Under general management, the Facilities Coordinator will oversee the facilities maintenance program, facilities communications, office space moves, safety/ergonomics, fleet maintenance and vendor/contractor management. The Facilities Coordinator works with minimal supervision and direction from the Facilities Manager and is authorized to take reasonable actions necessary to carry out the assigned responsibilities of the position; provided that such action is consistent with cost-effective practices and is consistent with the policy and procedures companywide.

     

    Required Skills

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    1. Responsible for Facility maintenance program.
    2. Responsible for coordination of daily duties for Maintenance Engineers.
    3. Responsible for daily communications with employee’s companywide.
    4. Assists with the management of the training room schedules.
    5. Acts as liaison between branch managers and property managers of all leased properties.
    6. Assists with the organizational ergonomics program.
    7. Assists with Space Planning and maintaining of electronic plans for the entire organization.
    8. Coordinates all space moves for the entire organization.
    9. Assist with negotiations and management of facility vendor contracts and monitors all service vendors’ performances in related fields.
    10. Maintains records of all vendors’ Certificates of Insurance on file. Contacts vendors as expiration date approaches to ensure that they have continued insurance.
    11. Assists the department manager in comprising and monitoring the department’s goals and budget.
    12. Assists manager on Facilities projects, including new construction and REO/Lease management.
    13. Performing a variety of office support duties following standard guidelines but requiring the use of independent judgment upon occasion.
    14. Interpreting and implementing policies, procedures and computer applications related to the department/division assigned.
    15. Composing standard correspondence and reports independently or from brief instructions.

    Required Experience

    MINIMUM QUALIFICATIONS:

     KNOWLEDGE, SKILLS AND ABILITIES:

    • Knowledge of financial service, facility and construction industry.
    • Knowledge of project planning methodologies and management accounting practices.
    • Excellent written and oral skills.
    • Strong project management skills
    • Strong analytical skills.
    • Strong presentation skills
    • Ability to leverage expertise and draw conclusions and recommend actionable solutions.
    • Ability to analyze and interpret complex information, data and financial analysis.
    • Ability to negotiate, manage and evaluate various vendors/contractors.
    • Ability to work well across multiple departments.

     

    EDUCATION, TRAINING AND EXPERIENCE:

    • Bachelor’s Degree in related field is preferred
    • 3-4 years of experience in facilities and property management for a corporation is preferred
