    Immediate opening for a self- motivated individual with outstanding administrative and customer service skills, a proficiency in using technology, and who thrives on working in a fast pace environment with various duties and stakeholders interactions.

    Under the general direction of the Director of Human Resources, and in collaboration with the Zoo management, you will be responsible for implementing, and leading our employee and volunteer selection, recruiting and onboarding, providing each new employee, volunteer( and hiring manager) an outstanding onboarding experience. To do so, you will collaborate with all departments to help new staff by providing the tools, resources and training to help new employees and volunteers hit the ground running, and solidify engagement while creating repeatable processes that ensure compliance.

    Requirements:

    B.A. or B.S. Course work in business, psychology, personnel management, and/or public relations or related discipline preferred

    Minimum two years of professional experience in administrative coordinator capacity, recruiting and onboarding preferred. Learning and development roles a plus.

    Very detail oriented, with ability to handle data with a high degree of accuracy

    Excellent verbal and written communication

    Strong administrative, time management and organizational skills

    Good understanding of the full cycle recruitment and onboarding processes

    Basic understanding of Employment & Labor Legislation in California preferred

    This is a full-time, Regular, Non-Exempt position.

    Schedule: Tuesday-Saturday, usually between 8:00AM – 5:00 PM, with flexibility in days and hours based on the business needs and events.

    Compensation: $17-$19/hour, DOE

    JOB DESCRIPTION

    Under the general direction of the Director of Human Resources, and with input from Senior Management, the Human Resource Specialist: Recruiting and Onboarding (HRSRO) promotes the Zoo and its mission by supporting selection, recruitment, and providing integrative and strategic new employee and new volunteer onboarding experiences.

    The HRSRO is responsible for the design, administration, implementation, logistics, and delivery of face to face, experiential, and electronic or online learning modules associated with the orientation and onboarding of new employees, managers, and volunteers throughout the organization. The HRSRO helps our employees and volunteers connect to our mission, our values, with an experience where individuals feel fully integrated, to increase their time to contribution in a fun and positive professional environment.

    ESSENTIAL DUTIES include the following:

    Employee Recruitment and Onboarding

    Under the oversight of the Director of HR, and working in close collaboration with Director of Education, Zoo Managers, Events, and Accounting & HR Associate:

    Contributes to build the Zoo brand, tells our story, accelerates learning, integration into the zoo, and engagement for the zoo & zoo brand

    Handles full-cycle recruitment by sourcing candidates, reviewing applicants, providing initial phone screening, setting up interviews for hiring managers, checking references, and applicant follow-up in a timely manner

    Provides a baseline for consistency, quality and fun of Onboarding process and experience for all new employees - and volunteers

    Develops and communicates a yearly calendar of Onboarding sessions. Responsible for the day-to-day activities associated with the Onboarding of new employees

    Implements, coordinates, facilitates, evaluates and improves a core Onboarding program to include specific activities, presentations, trainings, tools, introduces new hires to current employees and internal guests speakers (with a focus on first day, first week, first month, first quarter, first semester and 1st year) with input from Director of HR, Senior Management Group, and other stakeholders, building relationships across the organization.

    Posts job openings, coordinates and participates in local job and career fairs/expos throughout the year, especially before our peak seasons

    Supports managers by regular check-ins on their progress with applicants for their open positions

    Ensures new hire paperwork gets completed in compliance.

    Provides in-person New Hire Orientation/Onboarding sessions helping to set the tone and create of a world class new hire orientation and onboarding experience. Virtual sessions may also be conducted.

    Reviews processes to determine if they are efficient and effective. Makes recommendations for process improvements. Tests ideas, processes, tools and measures quantitative and qualitative impact and outcomes quarterly, building on successes in collaboration with stakeholders

    Ensures timelines and communication updates to Hiring Manager and HR are provided with details regarding recruitment , open positions, and New Employee Onboarding sessions, based on business needs

    Helps managers develop/provide specific job orientations to hires, to reduce time required to get new employees up to speed by developing Department or Role “Road Maps”, with input from stakeholders

    Provides training and technical support to end users on the use of the Onboarding and Learning Platforms; and resolves new employee’s inquiries, in collaboration with the Accounting and HR Associate

    Responsible for Uniforms: ordering, storing, distributing and getting back Uniforms from employees

    Improves the organization’s overall efficiency by researching and assisting in the implementation of various HR systems and processes

    In collaboration with Director of HR and managers: designs, implements, coordinates, facilitates, evaluates and improve Mentoring Program

    Performs other job-related duties as assigned

    Volunteer Recruiting, Training, and Onboarding

    Performs outreach, recruits, interviews, and places applicants for volunteer work.

    Provides Orientation and Volunteer Onboarding programs

    Supports functional managers with their volunteer programs

    Recruits special event volunteers

    Informs volunteers of Zoo policies and procedures, and standards of volunteer service.

    Maintains accurate records and provides timely statistical and activity reports on volunteer recruitment and activity

    Develops relationships with community organizations, businesses, and schools

    Adheres to and enforces Zoo’s policies and procedures as outlined in the Employee Policy Manual

    Attends all bi-monthly all-employee meetings

    SECONDARY DUTIES:

    Greets every guest with a smile.

    Thanks guests for supporting/visiting the Zoo.

    Answers phone calls, voice mails, and e-mails promptly.

    Ensures the Zoo’s presentation standards for cleanliness and maintenance are met by keeping work areas clean, picking up trash, reporting unsafe or unsightly conditions.

    Associates with guests to assist and share information.

    Responds to all guest inquiries, complaints, and comments according to Zoo guest relations procedures.

    Maintains a clean neat appearance and adheres to the Zoo’s uniform dress code.

    Takes responsibility to stay informed about happenings at the Zoo, such as reading employee communications and attending meetings.

    Reflects the qualities outlined in the Guest Relations Statement, the Employee Pledge, and our Core Values.

    Education and Experience:

    B.A. or B.S. with course work in business, psychology, personnel management, and/or public relations or related discipline preferred

    Minimum two years of professional experience in administrative coordinator capacity, recruiting and onboarding, or learning and development roles preferred

    License, Certification, or Preferred Qualifications:

    Experience in a zoo, aquarium, museum or nature center setting a plus

    Successful completion of a Department of Justice background check.

    Negative TB tests and Tetanus vaccinations as necessary

    Experience with Volgistic and Applicant Tracking and Onboarding platform preferred.

    Ability to certify in First Aid and CPR

    Valid California State driver’s license

    ledge, Skills, Abilities:

    Work experience as Admin Coordinator, HR Assistant, or similar role. Experience with event coordination/training program logistics a plus

    Comfortable using and improving various systems and processes

    Outstanding written, verbal, and interpersonal communication skills

    Basic knowledge of Labor Laws preferred

    Ability to maintain regular and consistent attendance and punctuality

    Understanding of volunteer organization dynamics and relationships a plus

    Ability to multitask successfully and adapt to a fast-paced work environment while remaining incredibly attentive to detail and calm/composed

    Take the initiative to independently complete all tasks within a timely manner, creatively problem solving when necessary

    Handle data with a high degree of accuracy and confidentiality

    Basic knowledge of biology and zoology concepts a plus

    Knowledge of audio-visual equipment and computer software such as database programs, desktop publishing, and graphics programs.

    Advanced working knowledge of databases and spreadsheets (Microsoft Suite)

    Ability to interact courteously and respectfully with supervisors, fellow employees, volunteers, and our guests.

    Ability to exercise safe work habits.

    Physical Demands & Work Environment:

    Available to work weekends and holidays, some evenings for training sessions, and when events are scheduled.

    Ability to attend events at different locations locally for outreach (ie Job Expo, job fairs, Career Centers, etc.)

    Must be able to occasionally lift 50 pounds, and 10 or fewer pounds frequently.

    Ability to exert a negligible amount of force frequently or constantly push, pull or otherwise move objects

    Ability to negotiate the zoo work environment including behind-the-scenes, lawns, gravel, hilltop, and attic storage

    Must be physically able to operate a variety of machines and equipment including telephones, printers, projectors, and copiers

    Involves working out-of-doors in all weather conditions for events

    Ability to work successfully in shared work space environment, with constant interruptions.
