    Job Summary

    Under general supervision, the Scheduler supports the continuity of daily operations by coordinating exam schedules in accordance with departmental guidelines. This role serves as a central point of contact for patient registration, insurance verification and pre-certification, and appointment scheduling. The Scheduler also assists in maintaining patient databases, tracking statistics, and supporting operational performance indicators.

    Key Responsibilities

    • Coordinate and maintain exam schedules to ensure smooth daily operations aligned with departmental standards.

    • Serve as a primary point of contact for patient registration, insurance verification/pre-certification, and scheduling services.

    • Answer and route incoming calls, schedule appointments, and obtain necessary authorizations from managed care providers for outpatient services.

    • Collaborate with the managed care office to interpret and apply contractual guidelines related to patient care.

    • Perform outpatient registration duties, including collecting and verifying patient demographic, insurance, and financial information.

    • Communicate preparation instructions to patients and assist department managers in prioritizing and triaging exam requests, including urgent cases.

    • Optimize appointment scheduling by filling cancellations and vacant time slots.

    • Follow up with patients regarding missed appointments and confirm upcoming schedules.

    • Ensure compliance with HIPAA and all applicable federal, state, local, and institutional confidentiality regulations.

    • Maintain accurate records, databases, and operational statistics.

    • Perform additional duties as assigned.

    Qualifications

    • High School Diploma or equivalent required

    • Medical Terminology Certification preferred or required

    • Minimum of two (2) years of experience in an office or healthcare environment

    • Proficiency in typing (minimum 35 WPM) or data entry (approximately 4,500 keystrokes per hour)

    • Ability to perform general administrative tasks such as filing, copying, and operating office equipment

    • Working knowledge of scheduling systems, insurance verification, and third-party billing/collection procedures

    • Familiarity with hospital billing and collection processes preferred

    • Prior healthcare experience strongly preferred
