    We are looking for a Scheduling Coordinator to manage all caregiver work schedules and maintain routine correspondence by collecting personal information.

    Under the direction of and reporting to the Supervisor, the Scheduling Coordinator is responsible for efficiently coordinating the daily operations of Personal Care Workers (PCWs) and ensuring appropriate staffing coverage for Caretruly clients. The role also serves as a key point of contact between the Scheduling and Reception departments to support front office operations.

    Edcation and Work Experience: Education equivalent to a high school diploma is required. One to three years of verifiable work history in home health scheduling is preferred.

    Nature & Scope-Principal Areas of Responsibilities: (This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time)

    Manage PCW schedules for 100+ clients daily, including occasional on-call duties such as after-hours coverage, holidays, and weekends.

    Serve as a bridge between Scheduling and Reception by answering backup incoming calls and supporting front desk operations.

    Manage the lobby area and greet PCWs and clients, addressing inquiries and directing them to the appropriate department.

    Provide coverage for receptionist breaks, lunches, days off, and other absences as needed.

    Receive, screen, and route incoming calls from clients, families, facilities, and other entities, and triage to the appropriate Case Manager, Supervisor, or other personnel.

    Communicate with PCWs daily to adjust and/or add time clock entries, work hours, schedules, and fill open shifts.

    Review completed on-site supervisory visits to ensure PCWs are meeting care standards and skill expectations for clients.

    Manage, process, and audit payroll and billing hours on a weekly basis, ensuring timely and accurate data entry.

    Accurately document all activities in the Electronic Health Record (EHR) system, ensuring records for PCWs and clients are current and accurate, including HR, scheduling, and availability data.

    Conduct scheduling orientation and training for PCWs to ensure knowledge, skills, and abilities (KSAs) meet expectations for assignments and job tasks.

    Knowledge/Special Skills/Abilities Needed:

    Bilingual in English and Spanish (required).

    Professional experience in customer service, preferably within the healthcare industry.

    Minimum of two years of experience with home health scheduling software systems.

    Minimum of one year of experience in staffing and/or recruiting.

    Strong phone etiquette with experience handling multi-line phone systems and managing multiple calls

    simultaneously.

    Ability to manage front desk operations in a professional and courteous manner.

    Demonstrated ability to work independently, exercise sound judgment, maintain confidentiality, and

    multitask in a fast-paced environment.
