The Scheduling Operations Lead is responsible for overseeing all patient scheduling operations to ensure an efficient, organized, and family-friendly experience. This role leads the front-end scheduling team, optimizes provider schedules, and ensures patients are seen in a timely manner while maintaining a high level of customer service. This position's sole responsibility is overseeing and building a productive schedule across all locations for all providers. This position will not require any insurance work but will include a high volume of patient and team communication. Responsibilities: Scheduling Management • Optimize appointment flow to reduce gaps and maximize productivity • Ensure appropriate appointment types and time allocations are used • Manage schedule changes, cancellations, and provider communication if production is not meeting goals Patient Experience • Ensure a smooth, friendly, and efficient scheduling experience for patients and families • Address and resolve patient concerns related to scheduling • Maintain professionalism and empathy in all patient interactions Operational Efficiency • Monitor key scheduling metrics (no-shows, cancellations, fill rates, etc.) • Implement strategies to reduce no-shows and improve schedule utilization • Coordinate with clinical teams to align scheduling with provider needs Communication & Coordination • Collaborate with providers and leadership on scheduling needs and improvements • Communicate schedule updates and changes to the team promptly • Assist with planning for high-volume days, low-volume days 6 months in advance, special clinics, or events Systems & Compliance • Ensure accurate data entry and proper use of scheduling software • Maintain patient confidentiality in accordance with HIPAA guidelines • Develop and enforce scheduling protocols and best practices Qualifications: • 2+ years of experience in dental scheduling or front desk operations (pediatric preferred) • Previous leadership or supervisory experience preferred • Strong organizational and problem-solving skills • Excellent communication and interpersonal skills • Ability to multitask in a fast-paced environment • Proficiency with scheduling software (Open Dental) Compensation: $60,000 - $65,000 yearly
