JOB DESCRIPTION
Scheer.Law PLLC is seeking a billing coordinator with at least two years of relevant experience to join our firm. The ideal candidate must be detail-oriented, excellent with numbers, have a strong work ethic, and enjoy working within a small, fast-paced, team-oriented community. A commitment to providing excellent customer service is essential. This position is crucial to helping the firm maintain an organized and efficient accounts receivable process.
The ideal candidate will be a self-motivated multi-tasker who thrives on challenges and consistently has a willingness to work as part of a dynamic team. The successful candidate will be integrally involved with the firm’s client-facing billing and collection process.
DUTIES
· Use Centerbase to process prebills and generate invoices in compliance with attorney instructions and client guidelines. · Ensure that the billing work product is accurate and meets the needs of our clients and attorneys. · Guarantee the correct set-up of client/matter information. · Facilitate conflict checks for new cases. · Respond to attorney inquiries regarding work-in-progress records and general billing requests. · Compile, manage and execute attorney billing. · Understand all client guidelines, internal protocols, and the firm's guidelines for e-billing matters. · Investigate, document, communicate, report, and resolve issues impacting prompt payment of invoices and/or disputed items. · Match payments inside of Centerbase and make necessary deposits. · Assist remote bookkeeper with various bookkeeping tasks centered around billing. · Prepare reports for management summarizing weekly/monthly/quarterly collection results. · Assist with accounting projects, as needed, to promote best practices. · General administrative tasks as needed.
EXPERIENCE AND EDUCATION
· Two years of hands-on billing experience preferably in a law firm environment. · Experience with Centerbase or a similar billing management platform. · Some experience working inside of QuickBooks is desired. · Must understand and demonstrate all facets of the billing function, particularly for insurance defense matters which may include split billing. · Proven experience with electronic e-billing systems across a wide variety of platforms and outside counsel guidelines. · High degree of accuracy, attention to detail, and quality control. · Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with tact and diplomacy. · Strong knowledge of generally accepted accounting principles. · Proven time management skills with the ability to meet deadlines. · Grace under pressure, and the ability to juggle multiple tasks and switch gears at a moment’s notice due to changing deadlines. · Excellent ability to communicate clearly, effectively, and with proper professionalism. · Experience in all necessary technology; primarily Microsoft Suite (Outlook, Excel, Word), Adobe Acrobat, SharePoint, among others. · Willingness to learn and undertake new tasks outside of prior experience with enthusiasm and confidence. · Self-motivated, disciplined, and flexible with the ability to adapt to change. · Ability to function well in a high-paced and at times stressful environment. · Excellent organizational skills and attention to detail. · Experience working in a paperless environment. · Outstanding interpersonal and customer service skills. · A high school diploma or equivalent (some college-level courses or a degree is preferred, but not required).
