    Who You Are

    As the Administrative Assistant, you will serve as the go-to person for many essential day-to-day tasks to keep our growing company running efficiently, while maintaining a positive work environment. This role is best suited for a detail-oriented, multi-tasking, creative problem solver who is willing to wear many hats. You will work closely with all departments to make sure needs are met and facilities are maintained, as well as work with building management, and various vendors.

    This position also includes, but is not limited to administrative duties, light event planning and executive support.

    Primary Responsibilities:

    • Managing day-to-day office duties such as handling mail, screening and routing phone calls ordering supplies and managing equipment
    • Coordinates CEO's complex schedule include scheduling key team meetings with stakeholders
    • Manages travel logistics for team members – domestic and international
    • Assist in the preparation of presentations, correspondence, and packets for internal and

    external meetings

    • Assisting with light HR duties such as tracking vacation and sick time, orientation for new employees, coordinating yearly reviews
    • Assisting staff with the organization of project files and physical and digital archiving
    • Manages logistics for external speaking engagements, press engagements and conferences for team members
    • Run errands as needed, including but not limited to mail, bank, grocery story, lunch, etc.

    Who we are looking for:

    • 2+ years of prior experience in office management or combined experience in administrative roles

    • Technically Savvy; ability to learn new program systems quickly; familiarity with Adobe CC Suite (in particular, InDesign and Photoshop) a plus

    • Excellent written and verbal communication

    • Strong time-management skills, with attention to detail, following through on projects and handling multiple tasks

    • Ability to handle highly sensitive and confidential information with total discretion and integrity

    • A team player with an energetic attitude and ability to work while having fun in a fast-paced environment

    • Interest in an art-related field a plus
