Position Summary
The School Administrative Coordinator will play a critical role in keeping our operations running smoothly at our new Community Campuses. Reporting directly to the CEO/Campus Director, this person will serve as a key administrative hub for the schools. From registering students to creating IDs, helping to plan events and ordering curriculum and materials and scheduling outings and meetings and filing expense reports, you’ll bring your organizational magic to a wide range of responsibilities that help the team focus on our mission for our small population of students. Key Responsibilities
Student Services
- Enroll students ensuring with families, courts, etc. that student enrollment process is complete and all documents are filed as needed and create the student IDs.
- Record daily attendance with and on behalf of school-based team checking progress of students who also work remotely with team at the end of each day.
- Notify Campus Director of communications with other schools and districts that clarify student’s needs and ensure clinician evaluations, IEP transfer meetings, etc. are scheduled as needed, court dates are recorded, etc. so that wrap-around services can be provided effectively for students and families.
- Support scheduling of wrap-around services and tracking information for partners and service providers, getting events added to weekly calendar, MOUs signed, etc. This might include visits to or away from campus including those related to college/career services to students.
Financial & Operational Support
- Submit orders for the Community Campuses, track expenses and file expense reports as well as tracking donations and providing letters of tax receipt.
- Help to ensure relationships with host facilities stay intact by communicating about maintenance issues, occasionally supporting cleaning along with the rest of the team and helping to maintain a tidy and welcoming environment alongside staff and students
- Supporting technology acquisition and operation of student laptops using chosen vendors and tech partners to ensure students can access curriculum as needed.
Administrative Management
- Serve as the primary point of contact at the school when staff are busy with students.
- Ensure guests, volunteers and family members sign in and out. Scanning those sheets in weekly to keep school records.
- Monitor and manage shared school calendars, communications, and workflows as needed to keep families and students informed on a weekly and daily basis.
Volunteer Management
- Create volunteer recruitment and on-boarding process with Campus Director.
- Ensure volunteers have been through screening, background check and training processes (emergencies, mandatory reporter, etc.).
- Ensure volunteers where lanyard identification when in the building and sign in and out.
- Support volunteers as needed when on-site if they need materials, etc.
Advisory Board & Steering Committee Support
- Coordinate meeting logistics every 4-6 weeks including scheduling, material preparation and distribution, communication and attendance.
- Record meetings and distribute recording along with short summary.
Leadership Support & Other Duties
- Relieve the CEO and Campus Director of select administrative and coordination duties that may arise from time to time supporting improved communication and workflows as needed.
- Join the team in supporting outings and special events as well as supporting with daily meal prep (breakfast, lunch, snacks when out of building, etc.).
Qualifications
Required:
- Located in the Denver Metro area with ability to work in-person and occasionally be on-site at the Colorado Springs campus if needed.
- Prior experience in office school or nonprofit administration, bookkeeping, or operations.
- Strong written and verbal communication skills.
- Highly organized and efficient with strong attention to detail.
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive) and willingness to learn technology that supports school model implementation.
- Ability to work independently and manage multiple tasks with minimal supervision.
Preferred:
- Familiarity with youth at-risk, school, nonprofit operations and/or board governance.
- Bi-lingual in Spanish.
Work Environment & Schedule
- This is a part-time, non-exempt role averaging 5 hours per day and 25 hours each week during the school year with some flexibility around daily schedule (between 8:30am – 3:30pm).
- Work is primarily team-based with individuals sharing the successful operation of the school through their various responsibilities.
- Some evening or weekend availability may be requested occasionally to support one time events.
