Job Description
The School Data Specialist advances the mission of KIPP New Orleans Schools by ensuring the accuracy, accessibility, and integrity of student data systems across assigned campuses so that students are fully enrolled, properly scheduled, and positioned to receive uninterrupted instruction, services, and assessment opportunities.
The School Data Specialist owns data accuracy and compliance outcomes for 2–3 assigned campuses, ensuring alignment between KNOS and NOLA Public Schools (NOPS) systems, seamless student scheduling, and reliable staff access to critical systems. This role partners closely with School Data Managers, School Leaders, and School Operations Leaders to maintain high-quality data practices and strong operational execution.
Success in this role is defined by:
≥95% of student adds, drops, and schedule changes completed within 1 school day
≥90% of staff access tickets resolved within 12 working hours
100% roster alignment between KNOS and NOPS systems
0 state testing audit findings across assigned schools
Key Responsibilities and Essential Functions:
Roster and Schedule Management (30%)
Own the accuracy and compliance of all student enrollment, roster, and scheduling data across assigned schools, ensuring 100% alignment between PowerSchool and NOPS systems.
Process student adds, drops, transfers, and re-enrollments within one school day to maintain continuity of student records and services.
Ensure all students (PK–8) are fully scheduled at all times, including building and adjusting master schedules based on school leadership input (non-high school roles).
Monitor and enforce timely completion of Hardship Transfer Requests, ensuring all are completed within three days and in compliance with policy.
Staff Access and Account Creation (10%)
Own the provisioning and maintenance of staff access across all required data systems (e.g., PowerSchool, DeansList, Illuminate, Clever, Tableau), ensuring staff can perform their roles without disruption.
Respond to and resolve ≥90% of IncidentIQ tickets related to system access within 12 working hours.
Create, update, and deactivate staff accounts within one business day of request, including during onboarding and offboarding.
Develop and maintain clear documentation and training materials to support effective system use across schools.
Direct School Data Support (40%)
Lead weekly school-based data audits and support to ensure ≥98% accuracy in attendance, enrollment, and records management practices.
Partner with School Data Managers and school leadership to ensure all data processes (attendance, enrollment, grading, records requests) are completed accurately and on time.
Support School Testing Coordinators in preparing for and executing state and local assessments, ensuring full compliance with testing protocols and zero audit findings.
Oversee grade storage and reporting processes, ensuring 100% completion and adherence to reporting timelines.
Onboard and coach School Data Managers to build strong data management practices and ensure consistent execution across schools.
Regional Data Team Priorities (20%)
Support regional data initiatives, including system improvements, reporting, training, and documentation, ensuring timely completion of assigned priorities.
Deliver training and professional development sessions to improve data system usage and data literacy across schools.
Execute coverage plans for schools experiencing Data Manager absences, ensuring continuity of all critical data operations without missed deadlines or compliance risks.
Partner with regional team members to resolve complex data issues, including records clean-up and dropout recovery efforts.
Qualifications
The following are required for the role:
Bachelor’s degree or equivalent experience
3+ years of experience managing or working with data systems
Demonstrated ability to manage high-volume workflows with accuracy and timeliness
Experience with Excel (or comparable data tools)
The following are strongly preferred for the role:
Experience in education or school-based operations
Experience with PowerSchool or similar Student Information Systems
Experience with data visualization tools (e.g., Tableau or comparable)
Familiarity with relational databases or SQL

Specific vision abilities required by this job include the ability to observe details at close range (within a few feet of the observer).
This role routinely uses standard office equipment such as laptop computers and various digital devices, and one needs to be able to read, analyze, and interpret data (emails, memos, letters, etc.) and maintain visual attention and mental concentration for significant periods of time.
Ability to meet the physical demands of classroom teaching (standing, circulating, occasional lifting/moving of classroom materials); Able to sit and work at a desk/computer for extended periods of time.
Ability to safely lift and move up to 30lbs independently
Duties require traveling to other school facilities using employee's personal transportation.
This is a full-time, 100% on-site position; Regular work hours, Monday through Friday, will be established with your supervisor. Occasional evening and weekend work may be required as job duties demand.
