    POSITION SUMMARY

    The School Operations Associate participates in the day-to-day management of the school office under the direction of the Operation Manager. The position works to ensure that the front office operates smoothly and presents a positive first impression of Carmen.

    Salary Range: $18.50/hr - $26.00/hr **
    Campus Openings:** Northwest High School Campus

    QUALIFICATIONS

    • Ability to communicate effectively to achieve assigned duties and goals
    • Proficient with MS office suite, general office equipment and general accounting programs
    • High school diploma required
    • Bilingual in Spanish and English required
    • Associates degree or higher desirable
    • At least 2 years of previous office experience
    • Experience working in a school preferred
    • Excellent customer service skills
    • Ability to multi task in a fast paced environment
    • Passion for quality education and student achievement
    • Ability to take direction from multiple parties
    • Positive attitude and approach to working as part of a team

    ESSENTIAL DUTIES & RESPONSIBILITIES

    Office Administration

    • Takes daily attendance with use of Infinite Campus and power school and maintains updated attendance records
    • Follows up on truancy issues, generates truancy reports, and completes phone calls to home to locate students and/or schedules meetings with the school social worker as needed
    • Issues tardy passes
    • Sorts and distributes daily mail
    • Assists with printing and assembly of bulk mailings
    • Assists students with first aid and medications as needed
    • Answers phone, providing customer service and recording of messages
    • Assist with Robo calls to families
    • Create SS/IS schedules; prints and mails requested transcripts
    • Assist with visitor packets, tours and hospitality
    • Maintains Infinite Campus and school calendars
    • Maintain a clean, organized, and welcoming office environment; maintain complete sets of commonly used forms for staff and families
    • Provide language translations for parents, visitors and teachers
    • Assist with MPS Compliance reports and monitoring
    • Collects student fees under the direction of the office manager
    • Inventory supplies under the direction of the office manager
    • Other office tasks as assigned

    • Supports the mission, vision and values of Carmen Schools of Science and Technology
    • Participates in and contributes to the office team
    • Fosters an environment and culture which promotes learning, respect and responsibility
    • Adheres to the policies and procedures of Carmen Schools of Science and Technology
    • Supports any Carmen Schools of Science and Technology campus main office when coverage is needed
    • Takes on other duties and responsibilities as assigned

    WORK ENVIRONMENT

    The School Operations Associate position is based at the school on a daily basis. The office environment is fast-paced and often requires standing for long periods, moving throughout the building, and lifting and stacking boxes. Occasional evening and weekend work is required with advance notice.
