Reports to: Department Chair and Director of Operations

POSITION OVERVIEW
The Assistant to Chair position will be dedicated to the advancement and operations of all administrative and office operations of the department. In addition, they will manage the MFA Visual Narrative (MFAVN) department website and creative outreach across all departmental social media platforms. The Assistant to the Chair will report to the Chair and the Director of Operations (DOO).
RESPONSIBILITIES:
Day-to-Day Operations
- Work closely with the Chair, DOO, and Administrative Assistant to assist in daily operations.
- Manage the general MFAVN email inbox and respond or forward the information appropriately.
- Coordinate with the Registrar's office on schedule changes.
- Periodically review operating budget usage and report to the Chair and DOO.
- Address individual student changes, complete forms as needed, and record student matriculation.
- Manage the MFAVN department's Google calendar.
- Assist with orientation, graduation, general recruitment, and planning of other special events as needed, both on and off campus. Attendance may be required occasionally at evening and/or weekend events.
- Serve as a point of contact to students in an advisory capacity
- Oversee and manage general department office space, needs, and logistics, including department technology and equipment
- Regularly maintain the department communications, fostering engagement within the MFAVN community
- Additional responsibilities and department duties as needed.
Publication and Writing
- Work with DOO to update department brochures, registration books, and other materials pertaining to the department.
- Assist with promotional writing, copyediting, and proofreading.
- Assist Chair in preparing agenda for faculty meetings and other departmental events.
Events and Programming
- Work closely with DOO, gallery staff, faculty, and students to execute project timelines, budgets, and technology requirements for all on-campus exhibitions.
- Oversee and coordinate installation and breakdown of on-campus summer studios and exhibitions, including storage, materials, and working with external vendors.
- Assist the Chair with Continuing Education and RisoLAB communications and programming initiatives as needed
Student Advising and Recruitment
- Oversee the student registration process
- Track requirements and provide support to students leading up to graduation and certification.
- Work with the Chair and Administrative Assistant in the recruitment and application process
Social Media and Department Promotion
- Coordinate with the DOO in the production and distribution of all promotional campaigns
- Manage, design, write, and post to the department's social media accounts
- Regularly maintain and update all department website content and blog posts.
- Maintain and organize departmental photo library for various publication and promotional uses.
- Capture and lead strategy on all website and social media analytics.
- Participate in professional advancement and skill-building opportunities to advance administrative and creative skills
- Support the department with additional duties and responsibilities as needed
QUALIFICATIONS:
- BA, BFA, or BS required, MFA preferred
- Strong project management, communications, creative writing, and multimedia content development skills are preferred
- Social media management and copywriting experience in a fast-paced environment preferred. Marketing, PR, and/or branding experience a plus
- Experience in promoting online and live events
- Proficiency in administrative software, including Google applications, Microsoft Office software, and Adobe Acrobat
- Graphic design skills are required, with working knowledge of Adobe Creative Suite Apps such as Photoshop, InDesign, XD, and Illustrator. Adobe Premiere, Adobe After Effects, Salesforce, and other creative digital apps are a plus.
