JOB TITLE: Assistant to the Chair
DEPARTMENT: BFA Design, BFA Advertising
REPORTS TO: Chair; BFA Design, BFA Advertising
SCHEDULE: Full-time; 35 hours per week
POSITION OVERVIEW: Assist the Chair with day-to-day administration duties while supporting the ongoing restructuring, reprioritization, and reimagining of the Design and Advertising departments. This position requires excellent organizational and communication skills (both written and verbal), confidentiality, an ability to juggle many tasks at once, and a calm and professional demeanor.
DUTIES & RESPONSIBILITIES
- Manage Canvas course content implementation for Chair; assist with weekly classes, recording attendance, managing Zoom meetings, and handling booking of and compensation for guest speakers
- Maintain Chair's calendar, managing appointments and prioritizing requests
- Coordinate Chair speaking engagements, professional appointments, and invitations, as well as all associated travel
- Conduct research for Chair's freshman and sophomore Design Thinking/Thinking Design classes as needed
- Assist Chair in preparing Keynote presentations for Accepted Students Day, Student Orientation, Open House, and other departmental and school-wide events
- Coordinate annual internal portfolio reviews for sophomores and juniors; support faculty reviewers and troubleshoot technical issues
- Assist Director of Operations and Communications Coordinator in planning annual live Senior Industry Day and ongoing portfolio-based events
- Maintain general department inbox and respond to all inquiries as appropriate, respond to non-essential emails regarding scheduling, academic policy, and general student queries
- Manage catering for department events as needed
- Help provide Zoom/Canvas support to new faculty as needed
- Assist Chair, Director of Operations, and 3D Chair with the spring exhibition
- Handle basic administrative duties for the Chair, such as expense reports, purchasing, and upkeep and organization of department Google Drive
QUALIFICATIONS
- Proven ability to handle multiple priorities under deadlines while maintaining a high level of professionalism, discretion, and attention to detail
- Superior organizational, research, and communication skills
- Ability to work independently and collaboratively in a fast-paced environment, take initiative, and maintain confidentiality
- Proficiency in Keynote, MAC OS, and Zoom; familiarity with Award Force, Canvas, and Colleague a plus
- Willingness to learn new technology
- Willingness to work flexible hours as needed
- Interest in design is a big plus
- BA/BFA required
