    Position Description: Registration Assistant, Part-Time (New Hire, Vacant)

    Job Title: Registration Assistant (Part-Time)

    Department: Registrar

    Reports To: Manager, Registration and Systems

    Position Overview: This position will provide general information and services to students, staff, and faculty members, such as processing Continuing Education registrations, enrollment verifications, and transcripts. The position will also be responsible for activities related to imaging and student information systems.

    Duties and Responsibilities:

    • Assist students, staff, and faculty with general information and the processing of online registrations, enrollment verifications, transcripts, address changes, student schedules, grading and attendance, ID cards, changes to student academic programs, student hiatuses, and withdrawals from the college
    • Process Continuing Education and non-matriculated student registrations and process associated payments (including credit card authorizations)
    • Assist with daily office duties; answer telephones, place direct calls, etc.
    • Reviewing and updating course section information (dates, times, locations, etc.) during the annual curriculum review process
    • Maintain academic records in the College's imaging software system; scan, index, and/or verify physical and/or digital records; ensure that records are properly stored or securely destroyed based on industry standards, legal requirements, and established SVA retention plans
    • Specific duties as assigned, which may include one or more of the following:
      • Classroom assignment, sending relevant information to students and faculty regarding registrar-related matters, assisting with veteran affairs billing, degree audit evaluation; testing software updates for licensed systems

    Qualifications:

    • High School diploma required. Bachelor's degree preferred.
    • Strong organizational and interpersonal skills.
    • Excellent written and verbal communication skills.
    • Demonstrated commitment to providing superior customer service.
    • Ability to work collaboratively with other team members.
    • Exceptional computer skills (proficiency in MS Office, Google Apps preferred).
    • Working knowledge of relational database systems preferred, but not required (Ellucian Colleague preferred).
    • Working knowledge of digital imaging software platforms preferred, but not required (Softdocs eTrieve preferred).
    • Ability to work on several tasks simultaneously and set priorities.
    • Flexibility and willingness to work weekend and evening hours.
    • Position may require physical activity (lifting and transporting documents and files)
