    Job Description

    VIRTUAL ASSISTANT - ADMINISTRATIVE SUPPORT SPECIALIST - Remote position $12-14/hour - Full Training - Flexible Schedule/Hours

    Duties: E-mail, text, call new staff that are going through their application and on-boarding process to assist them as they prepare to become licensed brokers/insurance agents. Assist and guide (remotely via computer "zoom" , phone, email, text) new agents through on-boarding, licensing and training with the assistance and guidance of your manager and staff that will train you. The tasks are simple, and require helping people make sure they fill out and complete their electronic application completely, enroll in coursework, join zoom meetings, schedule their exam date, and then start training and utilizing software we give them to use. We simply have to explain to them what to do, the next steps involved, we usually just send them group emails and group texts with instructions and then follow up with phone calls and/or zoom meetings.

    You will work closely with one agency manager in Asheville and Black Mountain area, and virtually with team of other people; most work will be done remotely, though we may occasionally meet in person.

    Help with basic administrative tasks to support hiring, on-boarding, and providing guidance and support to agents going through taking coursework and doing a background check in order to obtain licensing.

    This role would help guide new hires through the application process, taking the coursework, and helping them to start training. The role provides virtual/remote assistance to new agents with setting up their calendar to access zoom meetings, using certain software programs, going through training, etc.

    We will train you to do the tasks, you must be good at problem solving and have the ability to provide technical support in some cases when new agents are having issues using software that is new to them. They often make simple mistakes that need to be corrected. They need a phone call and assistance for 10-15 minutes. You will help provide them with coaching and guidance as best you can as they go through the on-boarding, licensing, and training process; however we will train them and take care of everything else.

    You have to be good with people and have excellent communication skills, good knowledge of basic software programs and be willing to learn basic use of software programs and websites we use as well as our application. You must have good ability to trouble shoot issues, they are usually relatively simply and not complicated technical issues, if needed we can have the agent call technical support. However we want to be there to provide support, tools, and resources. Must have good technical abilities, have a computer/printer/scanner/phone, and be able to use zoom, microsoft office and other software.

    Hours will start at around 10-15 hours per week and training does not take more than a few days. The job is simple and pleasant as you are only working with people that have been hired into the organization. However some of them require more assistance than others. At times certain individuals can be frustrating to work with, however they know that it is up to them to show us that they have the ability to be resourceful, coach-able, humble, and follow our instructions since it is their job that is at stake. Nonetheless some people can be rude or change their mind or struggle with certain parts of the process. You will be able to help them with something that is relatively simple however they may be having a meltdown over it and think its a big deal.

    They will see you as a guide/assistant and the agency manager as their mentor. Once candidates are trained the agency manager will take over helping them with their appointments and you would simply help with scheduling zoom meetings with us or them as needed and provide basic assistance where needed, although most of the focus will be helping new agents to onboard successfully so we can get them in the system, and contracted, and begin the process for them to be licensed, and trained, so we can develop them into self-sufficient agents. Others will already have a license and then we just need to help on-board them and get them involved in training and meetings, conferences, events, etc. Since we all work remotely we often just have to remind people of resources, meetings, webinars, etc. and provide details for them to access these things and then remind them and point them back to these resources as they learn.

    The position starts at $12 . There will be an initial 6 month trial period to make sure it is working out well. And then we will have a final 6 month trail period integrating whatever changes need to occur and gradually entrusting you with more hours. The agency manager is very understanding and easy to get along with and work with and this is a relatively easy job and is remote, however it must be taken seriously as it is vital to provide the necessary assistance otherwise new agents will quit because they feel a lack of communication, understanding, and support.

    You must be able to work at least 2-3 days a week...Schedule would be Monday, Weds, Friday you'd start with working 2-4 hours per day until you have learned all the necessary components of the position and can take on more hours and other administrative tasks related to recruiting, interviewing, or scheduling as needed. Eventually it may require 6 hours a day Mon-Weds-Fri,

    If is working out we can add more hours as the person gains more responsibility in the role. It allows for flexibility, work from home, little supervision, however excellent communication with the agency manager who will be doing the interviews and providing guidance and support to new agents. The agency manager also meets with families and trains agents and does not have time to assist with all of the on-boarding tasks and requirements for new agents. Therefore you'd be a valued assistant who the agency manager can trust to provide support and guidance that helps new agents feel appreciated, cared for, and valued, as they embark on a new career for themselves.
