    JOB DESCRIPTION

    Job Title:     Client Services Manager - Financial Planning Firm.

    Status:         Full Time, Monday through Friday.

     

    POSITION SUMMARY

    The Client Services Manager will be the face and the voice of our practice.  The primary role is to help foster existing client relationships and to facilitate a smooth transition for new clients.  The services manager would work closely with new and with existing clients to provide daily maintenance of client accounts and to provide administrative and general customer support to clients.  Success in the role will ensure that we maintain the highest level of service and care to our clients.

    RESPONSIBILITIES

    1.       CLIENT SERVICE

    ·         Respond to phone calls and to emails from clients, determining the best way to address the client’s request in an expedited manner.

    ·         Investigate, research, and resolve problems or concerns.

     

    2.       MEETINGS

    ·         Schedule and confirm client meetings in coordination with the advisor.

    ·         Help advisor with advance preparation and participate in the meeting as needed.

    3.        NEW ACCOUNTS

    ·         Gather and process data necessary to establish client accounts, to transfer assets, etc.  This requires mastery of online technology systems.

    ·         Accurately input data into various databases.

    4.       RECORDS 

    ·         Gather and record relevant information in our Client Relationship Management (CRM) system, including all client communications, both verbal and written.

    ·         Always ask questions and attempt to learn and to clearly record as much about client’s goals, concerns, interests and hobbies as possible.

    ·         Adhere to the highest level of regulatory compliance requirements with emphasis on protecting client identity and confidentiality.

    5.       OPERATIONS

    ·         Help advisor set up and implement efficient workflows and business processes.

    ·         Engage broker/dealer support staff to assist in executing client service requests.

    ·         Prepare client deposits, quarterly cash blotters and monthly correspondence requirements that include, but are not limited to:

    o   Document retention.

    o   Advertising materials.

    o   Client Files and Correspondence.

    o   Outside Business Activity.

    ·         Attend our consortium’s best practices meetings and training functions.

     

    6.       MONEY MOVEMENT

    ·         Receive and gather necessary data, and process client requests to:

    o   Deposit and disburse checks.

    o   Send, receive and journal electronic funds.

    ·         Pro-actively communicate with advisor to ensure timely availability of funds.

    ·         Effectively verify and document client identity according to compliance rules.

     

    KNOWLEDGE, SKILLS AND ABILITIES

    ·         Strong grasp of technology in an office-based environment.

    ·         Excellent verbal and written communication skills.

    ·         Highly motivated and detailed.  Will do more than the bare minimum of what is asked for and will always seek to close the loop on all tasks.

    ·         Ability to organize, prioritize and handle multiple tasks at once.

    ·         Delegates effectively to other administrators.

    ·         Judicious – Understands how important proper messaging can be, even under deadlines.

    ·         Proficiency with maintaining an electronic Customer Relationship Management System strongly preferred.

    ·         Excellent working knowledge of Microsoft Office (Word, Outlook, Excel).

    ·         Experience in the securities industry preferred, but not required.  A background check is required.
