We are seeking a Secretary III to perform administrative duties related to tissue-based cancer diagnostic testing in support of Food and Drug Administration's (FDA) Office of Regulatory Affairs (ORA) Office of Regulatory Sciences (ORS) in Jamaica, NY.

** So, what will the Secretary III at Terrestris do?**
** __**As the Secretary III, you will perform specimen receipt, accessioning, generation of reports according to established protocols, communicate with clients regarding test orders and results, assist with scanning and filing of laboratory records, and assist with placing orders and management of associated documentation.
** What does a typical day look like for the Secretary III?**
You will:
- Prepare records for scanning and/or conversion
- Scan and convert documents into Optical Character Resolution (OCR) format to allow for searchability of documents.
- Convert oversized material (material that has a dimension greater than 11 X 17 inches) and multi-dimensional promotional material, as necessary, to normal size documents by photocopy or photograph using a Government-provided digital camera at a resolution greater than 6-megapixels.
- Use Adobe tool, or equivalent, to optimize and reduce the file size as the scanned PDF file must not be larger than 85MB in size.
- Ensure quality of the scanned images is acceptable and to verify all the worksheet pages are included in the right order by using quality factor checklist.
- Organize, box and label hardcopies of worksheet packages.
- Temporarily store and barcode (if applicable) the boxes in the laboratory area designated by FDA supervisor. Procedures for barcoding and storing boxes vary by laboratory.
- If additional space is required for temporary storage, move the boxes to off-site location designated by FDA supervisor. The Contractor employee(s) shall be able to routinely lift and move boxes weighing up to approximately 15 lbs.
- Maintain an inventory of all hardcopy and digital records. FDA Records retention schedule will be provided to the Contractor.
- Schedule internal and external meetings using Microsoft Outlook and WebEx.
- Attend meetings, record attendance, record action items, and assist in tracking responses related to the outcome of the meetings.
- Prepare meeting minutes and agendas using Microsoft Word.
- Assist with preparation of meeting materials including copying, collating, and organizing documents.
- Assist with Budget Tracking using Microsoft Excel.
- Assist with adding documents into SharePoint sites.
- Assist with the collection and tracking of documents related to scientific equipment and facility requests using Microsoft SharePoint and Excel.
- Prepare travel estimates in accordance with Government regulations.
- Asist in document preparation using Microsoft WORD, EXCEL and POWERPOINT.
What qualifications do you look for?
** __**You might be the administrative professional we're looking for if you have:
- High school diploma or equivalent required; Associates Degree preferred.
- Specific experience with laboratory administrative tasks and familiarity with medical terms preferred.
- Experience with laboratory information systems preferred.
- Strong computer skills including Microsoft Excel or Google Sheets, Microsoft Word, and Adobe Acrobat.
- Outstanding written and oral communication and organizational skills.
- Meticulous attention to detail.
