Job Summary
The Church Secretary (Part-time) serves as the central administrative support for the church and school, ensuring the smooth and efficient operation of daily activities. This role provides direct assistance to the Pastor, manages communications and records, coordinates volunteers, and oversees light bookkeeping and financial tasks. The Church Secretary also supports the school’s mission through accounts receivable/payable functions and assists in identifying and writing grants to support educational programs and ministry initiatives. Estimated work hours: 20-25 hours/week. Hybrid work schedule, in-office and remote. Must live in Marathon,FL or in surrounding area. Flexible times based on Pastor's needs.
Key Responsibilities
Administrative & Office Management
Serve as the primary point of contact for the church and school—answer phones, greet visitors, and manage general correspondence.
Maintain organized records, membership rolls, and filing systems (digital and physical).
Prepare bulletins, newsletters, announcements, and other church communications.
Schedule and coordinate meetings, events, and facility usage.
Order and maintain office supplies and materials.
Financial & Bookkeeping Support
Perform light bookkeeping duties including data entry, bank deposits, and financial recordkeeping.
Manage Accounts Receivable/Accounts Payable for the church and school, ensuring timely billing and payment processing.
Reconcile receipts and assist with monthly financial reports in coordination with the Treasurer or Bookkeeper.
Track and record donations, tuition payments, and designated fund contributions.
Grant Writing & Development
Research local, state, and federal grant opportunities aligned with the school’s mission.
Prepare and submit grant proposals, budgets, and required documentation.
Maintain a grants calendar and assist with reporting and compliance requirements.
Volunteer Coordination
Recruit, schedule, and support volunteers for church and school events.
Maintain volunteer contact lists and service schedules.
Ensure volunteers are equipped with clear communication, resources, and recognition.
Church & School Support
Assist with coordination between the church, school, and parent community.
Support special events such as fundraisers, outreach projects, and community gatherings.
Maintain confidentiality and professionalism in all interactions and recordkeeping.
Qualifications
High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Administrative Assistant or in a similar position
Familiarity with standard office equipment such as printers and fax machines
Excellent computer skills
Highly organized with excellent time management skills and the ability to prioritize projects
Knowledge of Planning Center, Bright Wheel, Google Suite and the Apple ecosystem is preferred
Strong organizational and time management skills with attention to detail.
Proficiency in Microsoft Office and/or Google Workspace; familiarity with QuickBooks or other accounting software preferred.
Excellent written and verbal communication skills.
Ability to multitask and prioritize in a dynamic church environment.
Experience in basic bookkeeping or administrative finance required.
Previous grant writing experience highly desirable.
