A well-established wealth management firm in Southfield seeks a talented and professional Registered Sales Assistant/Client Service Specialist to join a fast-paced team.

    We are a full service investment advisory firm whose advisors provide portfolio management and financial planning services specializing in Wealth Management and Financial Planning for affluent families, professionals, business owners, retirees and women and Special Needs Planning.

    This position will provide support to the Financial Advisors in the areas of administration, business processing and client service. The successful candidate must be results driven and will possess strong clerical, organizational, communication, computer and customer service skills. They will also be a self-starter having strong initiative, strong attention to detail and excellent follow through skills.

    Previous sales assistant/financial services experience required. Strong proficiency with CRM, MS Office - Excel and Word are a must. Securities license is REQUIRED. A college degree is not required but preferred.

    POSITION REQUIREMENTS

    · Securities Licensed individuals ideal

    · Previous customer service experience preferred

    · Strong technology skills required

    · Ability to organize and prioritize work

    · Ability to pay strong attention to detail orientation and ensure accuracy and completeness of all forms, letters, emails, etc.

    · Ability to work cooperatively in a team environment

    · Ability to organize, prioritize and handle multiple tasks

    · Ability to work under pressure and meet deadlines

    · Ability to communicate with co-workers, clients, and various business contacts in a courteous and professional manner

    · Knowledge of securities industry practices, procedures and terminology

    · Skilled in strong and effective verbal and written communication

    · Ability to investigate and research situations

    · Ability to maintain confidentiality

    · Have a proactive approach to client service and problem solving

    · Ability to make rule-based and analytical decisions

    · Ability to take complete and accurate notes

    · Knowledge of client management databases preferred

    · Must be a self-starter and be able to take initiative

    · Must be able to work with minimal supervision

     

    POSITION DUTIES AND TASKS

    THIS POSITION IS RESPONSIBLE FOR, BUT NOT LIMITED TO THE FOLLOWING:

    1. Prepare, process and follow up on all business – accuracy is a must.

    2. Service existing clients including processing retirement distribution, paperwork for changing investments if necessary, prepare client reviews, handling death claims, etc.

    3. Run investment and insurance proposals for the advisors.

    4. Answer telephone inquiries from clients:

    • Research and resolve client service problems by contacting Home Office and Sponsor Companies to resolve problems or errors as needed.

    • Escalate problems/issues to Advisors as appropriate.

    1. Assemble, organize, coordinate, and maintain all client paperwork.
    • Communicate with clients to complete new accounts, asset transfers, and other forms.
    1. Handle routine service matters for client accounts to include processing name and address changes, account applications, bank authorizations, beneficiary changes, etc.

    2. Set-up and maintain client management system.

    3. Provide marketing support for the office to include:

    • Sending marketing brochures to clients and prospects at direction of Advisors(s)
    • Following up on referrals, leads, prospects or clients with letters or notes signed by Advisors(s)
    • Handling unsolicited calls from prospects to schedule appointments or refer to Advisors(s)
    • Assist in coordinating seminars or client appreciation events
    1. Ensure branch office meets the broker/dealer’s compliance requirements
    • Record all transactions on appropriate logs and blotters
    • Set up client files, both paper and electronic, correctly and obtain necessary information
    1. Assist with other duties and projects as assigned.
