    Position Classification: Non-Exempt

    Position Summary:

    The Executive Administrative Assistant is responsible for providing high-level administrative support by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, preparing Board meetings, agendas, packets, minutes, and scheduling meetings.

    This role will begin as a 1099 Contract position, working through our Staffing Partner, StarHR with the option to convert to full time salary + benefits in as little as 3 months. This role is 100% remote. You will need to bring your own laptop, mobile phone, and home office to the role. The company will provide all of the cloud SaaS solutions you will need, including Google Suite, Microsoft 365, Zoom, Calendly, Slack, ClickUp, and more.

    Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

    • Completes a broad variety of administrative tasks including: managing a calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

    • Serves as the primary gatekeeper for the executive, ensuring proper communication flow and maintaining chain of command.

    • Schedules and oversees key leadership, weekly and monthly review meetings, composing agendas, meeting minutes, and taskers to assist with accountability.

    • Handle requests and queries appropriately

    • Research projects as needed

    • Assist in planning company events

    • Develop and carry out an efficient documentation and filing system

    • Regular interaction with company team members, to include internal and external stakeholders daily.

    • Other duties as assigned

    • Provide administrative support to other executive level positions.

    • Responsible for taking notes and or minutes to major meetings and or other meetings as requested and providing accurately typed documents reflecting the minutes of those meetings.

    Knowledge, Skills, and Abilities:

    • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Google G-suite, Adobe Acrobat, and Social Media web platforms
    • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
    • Very strong interpersonal skills and the ability to build relationships with stakeholders, including executive staff, external partners and team members.
    • Expert level written and verbal communication skills.
    • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
    • Highly resourceful team-player, with the ability to also be extremely effective independently.
    • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
    • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
    • Forward looking thinker, who actively seeks opportunities and proposes solutions.

    • Professional appearance and demeanor.

    Required Qualifications:

    • 5 years of experience as an executive administrative assistant

    Preferred Qualifications:

    • Bachelor’s degree in business, liberal arts, or related field from an accredited University

    Physical Demands:

    • Ability to stand, sit, use of hands to handle, feel, or reach with hands and arms
    • Specific vision abilities required by this job include close vision and distance vision
