About the Role:

The Service Administration Support role provides cross-departmental administrative support for Accounting, Service, Parts, and Rental operations. This position helps keep daily workflows moving by maintaining accurate records, supporting customers, communicating with vendors, and coordinating service-related information.

Primary support areas include:

Communicate with customers and vendors to maintain accurate, up-to-date account and service information for a variety of work orders including preventative maintenance programs.

Provide customers and vendors with service status updates, cost estimates, warranties, final invoices, and payment collection support for completed services.

Maintain electronic records, files, and information libraries, including bulletins, manuals, and other related service documentation.

Document detailed asset information in the company’s management database.

Assist the Rental Department with equipment rental scheduling, hauling coordination, and invoicing.

Assist the Parts Department with inventory support and parts dispensing requirements.

Skills / Experience

Strong customer service focus with excellent oral and written communication skills.

Highly organized, detail-oriented, and self-motivated, with the ability to multitask in a moderate-paced environment.

Basic parts and mechanical knowledge to communicate effectively with customers, vendors, and team members.

Computer proficiency, including Microsoft Word, Excel, and service management systems.

High integrity, reliability, and professionalism, with a flexible and team-oriented approach.

Willingness to cross-train and support varying department schedules as needed.
