    Summary :

    The Service Administrator is responsible for reviewing additional work reports, providing accurate service quotes, and ensuring the best pricing from vendors for all jobs and divisions. This role involves processing data for financial reports, payroll, and billing, while regularly following up with customers on quote status.

    Essential Duties and Responsibilities:

    • Review and process Additional Work Reports to generate service quotes based on the report and assigned sources.
    • Ensure accurate material pricing and code receivers for data entry.
    • Generate and balance payroll for assigned business units and process customer invoices according to the schedule.
    • Maintain all project, agreement, and customer information, including managing new maintenance agreements and project updates.
    • Enter new customers, maintenance agreements, equipment, and task revisions. Close projects and process contract renewals, cancellations, and inactivation.
    • Collaborate with Service Managers or Assistant Service Managers to review quotes and follow up on open and closed quotes.
    • Build productive relationships with customers, vendors, field personnel, and internal teams, ensuring the best pricing and availability from vendors.
    • Provide support for special projects as assigned by management.
    • Ensure safety and security procedures are followed and report unsafe conditions.
    • Additional duties and responsibilities as assigned.

    Experience and Skills:

    • Associate's degree or 3-5 years of related experience.
    • Strong problem-solving skills with the ability to handle challenging situations.
    • Excellent communication skills and ability to build relationships with customers and team members.
    • Customer-first mindset with a passion for delivering exceptional service.
    • Proficiency in inventory and scheduling software, Excel, and word processing tools.
    • Basic mathematical concepts and practical application in tasks.
    • Strong organizational skills and the ability to prioritize tasks efficiently.

    Physical Demands/Work Environment:

    • Regularly sit, talk, or hear; frequently stand and walk.
    • Occasionally lift and/or move up to 25 pounds.
    • Specific vision abilities required include close vision and the ability to adjust focus.
    • Moderate noise level in the work environment.
    • Ability to lift and carry light office supplies (up to 10 pounds) and reach or bend to access files and documents.
    • Frequent use of a computer, telephone, and other office equipment.
