    Share Food Program (“Share”) is the largest-serving hunger relief organization in the Philadelphia region, and one of the largest independent food banks in the nation. Before the Covid-19 crisis began, Share distributed food to 700,000 neighbors in need each month. The need has risen sharply since early 2020—Share now serves more than 1 million each month.

    Position Summary:

    Share Food Program supports over 70 school districts and 105 food pantries in the Philadelphia five-county area. Through the Philadelphia Pantry Program, Share supplies partner organizations with a variety of bulk food items from donors, the PA Department of Agriculture, and the US Department of Agriculture. Under the supervision of the Pantry Program Director, the Administrative Coordinator will maintain records, coordinate delivery logistics, and process orders for Philadelphia partner pantries. The Administrative Coordinator will ultimately be responsible for ensuring program operations run smoothly and maintaining excellent service standards for our partners.

    • Communicate respectfully and effectively with partner pantry representatives

    • Maintain a database of partner pantry data, including points of contact, distribution days/times/locations, delivery schedules, and services offered

    • Keep all program records around operations and distribution current for external partners, Share team members, and government reports

    • Process orders from partners pantries according to program parameters, answer questions, and provide technical support to pantry representatives

    • Coordinate with the Inventory Management Team to monitor the inventory levels allocated to Philadelphia Pantry Program, and supervise the flow of fresh, frozen, and shelf-stable food to pantries

    • Use warehouse management and inventory tracking software to provide regular updates to partners about available products

    • Collaborate with the Transportation Team to coordinate delivery and scheduling logistics with partner pantries

    • Track the status of delivery routes and communicate to partners as needed

    • Work with Pantry Team on ongoing projects and planning in areas such as gathering feedback, maintaining compliance, and ensuring equitable distribution of food across the pantry network

    • Other duties as required

    Preferred Skills and Competencies:

    • Ability to build and maintain relationships with a diverse group of pantries and organizations
    • Excellent organizational skills
    • Attention to detail
    • Proficient in Google and Microsoft Suites, particularly Excel
    • Experience in database management
    • Data Entry
    • Clear oral and written communications skills

    Physical Requirements:

    • Position requires sitting up to 90% of the time
    • Position requires keyboard use or repetitive hand motion

    Environmental Risks:

    • Position includes potential exposure to loud noises, extreme temperature, and allergens up to 20% of the time.

    Job Type: Full-time

    Pay: $42,000 - $47,000 per year
