    Calvin University is seeking an ASSOCIATE DIRECTOR OF ENROLLMENT SYSTEMS AND OPERATIONSto maximize the use of our systems and data in support of enrollment strategy, goals and operations.

    _ _The Associate Director of Enrollment Systems and Operations is responsible for designing, implementing and executing the university’s enrollment systems and operations to support university enrollment growth strategies. The associate directorand their team will be responsible for assessing and fine-tuning the enrollment systems to capitalize on the most advanced capabilities of each system, ensuring that the enrollment division can provide highly personalized support to both internal and external customers. The associate director, in collaboration with other university leaders, will develop and refine a robust, innovative and highly intuitive enrollment technology strategy prioritizing the use of the CRM. Therefore, the associate director should have a proven background improving business processes, quality and system automation to ensure the performance, integrity, and security of data. 

     

    ESSENTIAL DUTIES & RESPONSIBILITIES

    • SYSTEM OPTIMIZATION
      • Capitalize on the most advanced capabilities of each system in alignment with strategic goals.
      • Review and implement improvements to business processes and integration to improve efficiency.
      • Lead and coordinate CRM changes, including integration of the CRM with FrontRush, mobile apps, student information system, and other campus-wide systems as required.
      • In collaboration with the Admissions, Communications and Marketing,and CIT, develop and build an enrollment technology strategy prioritizing the use of the CRM.
    • ENROLLMENT OPERATIONS
      • Build operational excellence by streamlining data processes to improve data entry turnaround time; ensure data accuracy, integrity and consistency; enhance the quality of customer service; test systems for functionality and accuracy.
      • Execute system operations for enrollment activities (e.g., search, application creation and processing, decision release, deployment of communications).
      • Collaborate with consultants and other divisional leaders to implement, assess and refine a prospect scoring system.
      • Deploy, maintain and continuously evaluate the effectiveness of innovative recruitment technology and techniques in support of the university’s strategic plan including identifying new technologies that may enhance the university’s efforts.
      • Build, innovate, enhance, and streamline the generation and distribution of new and existing reports on a daily basis.
      • Oversee daily activities related to the regular maintenance and administration of the group's data systems. This includes but is not limited to assisting with the creation of data imports and exports processes, maintaining and updating queries and rules, troubleshooting issues across the system, and developing CRM best practices.
      • Liaise with vendor representatives (CRM vendor, College board, the Common Application, Parchment, etc .) to troubleshoot technical issues and ensure effective and efficient processing
    • LEADERSHIP AND SUPPORT
      • Serve as a key day-to-day partner to senior leaders of the enrollment strategy division in achieving the university’s enrollment goals.
      • Support analysis and assessment of recruitment, admission and financial aid data to help improve recruitment strategies and planning.
      • Oversee operations staff.
      • Collaborate with members of the enrollment strategy division to identify and implement regular and annual improvements to admission and financial aid processes. Liaise with different departments about the implications of these changes.  Identify business processes that can be enhanced through creative solutions and developing technical improvements to workflow, efficiency, and security.
      • Collaborate with partners across the university (CIT, academic departments, registrar, etc).

     

    SUPERVISORY RESPONSIBILITIES

    • Provides strategic oversight and direction to operations staff.
    • Directly responsible to lead the daily operations, coordination, and evaluation of the operations staff.

    Required Skills

     

    • Demonstrated knowledge and understanding of database concepts and design, reporting, and data management.

    • A strong commitment to ensuring the accuracy and reliability of collected information.

    • Ability to problem-solve and deliver solutions that are strategic, analytical, and creative to ensure and uphold the high standards of the institution, in an environment that is fast paced with high expectations.

    • A thorough understanding of complex recruiting environments and subsequent recruitment strategies, CRMs, promotion/public relations techniques, and assessment/planning skills

    • Demonstrated understanding of and experience with programming logic (examples: SQL script writing, XML, HTML, and/or Javascript)

    • Demonstrated success and aptitude in analytical problem solving, including resource allocation, problem solving, and the development and use of critical metrics with respect to outcomes.

    • Strong reporting and data analysis skills; ability to build and refine reports.

    • Ability to establish goals, structures, and processes necessary to execute strategy.

    • Knowledge of current and emerging technologies available to improve the enrollment process.

    • Project management skills, including the ability to set timelines, identify and handle multiple priorities, organize tasks and manage/facilitate a team for information system upgrades, enhancement, and new implementations.

    • Ability to establish and maintain collaborative working relationships with individuals at all organizational levels.

    • Effective oral and written communication skills including the ability to interpret complex policies and procedures and communicate technical issues to all levels (technical and non-technical end users) of the organization.

    • Ability to use discretion, good judgement, and maintain confidentiality while working with sensitive information.

    Required Experience

     

    • Bachelor's Degree in computer science, computer information systems, or related field.
    • 5+ years of related work experience.
    • Progressive experience with projects and supervision of professional staff in admissions or related systems and operations field.
