    SheerID is looking for an energetic, detail-oriented, and proactive Administrative Assistant in Portland, Oregon! The Admin Assistant will help us to create and maintain a proper work environment to optimize our organizational effectiveness, communication and safety. The responsibilities will include scheduling meetings and appointments, organizing and submitting expense reports, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.

    The ideal candidate would have some experience of working as a Front Office Manager or Office Administrator. We expect the Administrative Assistant to be familiar with a variety of office software (including email tools, spreadsheets and databases) and to be able to accurately handle administrative duties. We expect the schedule for this role to be a minimum of 30 hours per week. This role is expected to be full time but will consider candidates willing to work a minimum of 30 hours per week.

    ROLE SPECIFIC JOB DUTIES

    • Organize office operations and procedures and schedule meetings and appointments
    • Organize and submit expense reports for C-Level Executives (CEO, President, CMO, and CRO)
    • Manage the office layout, ordering stationery and equipment when needed
    • Maintain the office condition and look of conference rooms (chairs pushed in, tidy)
    • Arrange necessary repairs with Property Managers
    • Order weekly lunch orders and manage setup and cleanup
    • Maintain kitchen conditions with daily coffee making, tidying dishes, and arranging snacks 
    • Order weekly Instacart food deliveries for kitchen snacks and drinks
    • Negotiate with office vendors, service providers and building management
    • Manage office G&A budget, ensure accurate and timely reporting
    • Act as the onsite coordinator for candidates and provide support to visitors
    • Assist manager with typical duties such as maintenance, mailing, errands and so on
    • Order business cards and key access badges for new employees
    • Interact with employees to receive their queries about office issues or concerns
    • Plan in-house or off-site activities, like parties, celebrations and conferences

    REQUIRED SKILLS/EXPERIENCE

    • 1+ years' experience of working on a Front Office Manager, or Administrative Assistant position. (Similar experience considered)
    • Good experience with office administrator responsibilities, systems and procedures
    • Good practical experience with office machines (such as copy machines and printers) and MS Office, particularly MS Excel, Google Mail (gmail) and Drive.
    • Good familiarity with email scheduling tools, like Google Calendar and Boomerang
    • Strong time management skills and ability to multi-task and prioritize work
    • Strong organizational, planning and problem solving skills with attention to detail
    • Excellent written and verbal communication skills, with a creative approach to problems
    • High School diploma required; College degree preferred; additional qualification as an Administrative Assistant or Secretary will be a bonus
