    POSITION SUMMARY

    Third answer, handling incoming phone calls and directing them to the appropriate personnel and providing direct support to the Shell Department and assisting other departments with clerical tasks. Typical office duties include filing, mailing, order entry, invoice creation, shipment routing, and communicating with customers and distributors via phone, fax, and email.

    REPORTING RELATIONSHIP

    Reports directly to the Nut Shell Sales Manager and coordinates with the President, Brian Hammons, and other Managers.

    JOB DUTIES/ESSENTIAL FUNCTIONS

    Support for all office positions

    Order Entry – Take orders directly from our customers, deliver excellent customer service, accurately enter orders and inventory into the SAGE accounting system, and promptly follow up with customers regarding any open issues or questions.

    Shipping – Fulfill customer orders as instructed; generate shipping documentation, calculate rates, and coordinate freight arrangements.

    Invoicing – Generate invoices via Sales Order, review with the Sales Team, and submit online or by mail, along with supporting documents.

    Accounts Receivable – follow up on accounts with clear communication to ensure timely payments.

    Communication – Assist in answering customers' and huller operators’ questions, and filter and distribute calls to the appropriate departments.

    Filing – typical office file system – paper copies of orders, computer records of letters, reports, and sample request information

    OTHER DUTIES/FUNCTIONS

    Communicate and work with both Sales & Production teams

    Assist with Catalog, Wholesale & Oilstock orders and invoicing

    Email correspondence from website questions – increases during our buy season

    Perform other duties as assigned.

    POSITION REQUIREMENTS

    Education/Training: Preferably a 2-year Business degree

    Experience: Minimum of 2 years of office-related experience

    Skills/Abilities: Experienced in Microsoft Office; strong customer service skills; pleasant and efficient on the phone; cooperative with co-workers; well-organized
