  • Responsibilities

    SHINE Systems, LLC, is currently seeking Mid-Level Executive Administrative Support Specialists located in Reston and Charlottesville, Virginia. Executive Support Specialists work independently or under only general direction to support the executive leadership in a full range of administrative support requirements.

    Duties include, but are not limited to:

    • Assist the DIA Office of Security (SEC) Special Security Officer (SSO) in meeting office security requirements
    • Review, coordinate, and track internal and external staff clearance and nomination packages
    • Prepare staff summary sheets, memorandum of agreements, and official memos
    • Update/develop office-level standard operating procedures (SOP)
    • Facilitate DTS travel for government personnel
    • Maintain the e-Task management system
    • Coordinate the reporting in and out process for new government staff and contractors
    • Develop and distribute the office PERSTAT
    • Schedule conference rooms and appointments; help manage senior leadership calendars.
    • Coordinate office supply orders
    • Serve as the vehicle coordinator, including maintenance of log books, development and distribution of required vehicle reports, and accomplishment of other vehicle coordination duties as required by the logistics coordinator
    • Maintain internal files and records management.
    • IIR/Storyboard cataloging, filing, and tracking
    • SAR/WAT collection and submission
    • Dissemination of pertinent information to Community of Interest (COI)

    Experience/Education

    • 3 years’ experience providing administrative support
    • Strong MS Office skills
    • Working knowledge and understanding of DoD processes and terminology
    • High school diploma or equivalent.
