Shipping Desk Clerk
Position Summary:
The Shipping Desk Clerk is responsible for coordinating outbound shipments, verifying shipping documentation, maintaining shipping records, and ensuring all loads are processed accurately and efficiently.
Key Responsibilities:
- Review and process daily shipment orders.
- Ensure all required documentation is received before releasing materials for shipment.
- Maintain and distribute daily shipping schedules to warehouse personnel.
- Check in drivers and verify required documentation, including:
- Pickup number
- Valid driver’s license
- Completed driver information form
- Destination information
- Truck and trailer details
- Record driver arrival and departure times.
- Obtain driver signatures on shipping logs.
- Verify shipment information against scheduling records.
- Prepare and distribute load documentation to warehouse personnel.
- Coordinate loading locations and direct drivers accordingly.
- Maintain organized shipment files and records.
- Generate and process Bills of Lading (BOLs) after loading is complete.
- Verify shipment details before releasing paperwork, including:
- Pickup number
- Destination
- Shipment weight
- Quantity
- Purchase order numbers
- Product information
- Shipment dates
- Print and distribute required copies of shipping documents.
- Scan and distribute completed shipment paperwork to appropriate departments.
- Maintain accurate daily logs and shipment records.
- Process rejected shipments according to company procedures.
- Ensure all documentation is completed accurately with no unauthorized alterations.
Qualifications:
- Strong attention to detail and accuracy.
- Excellent organizational and recordkeeping skills.
- Ability to work effectively with drivers, warehouse personnel, and office staff.
- Proficient with computers, scanners, and standard office software.
- Ability to manage multiple tasks in a fast-paced shipping environment.
- Previous shipping, logistics, transportation, warehouse administration, or dispatch experience preferred.
Work Environment:
- Office environment within a warehouse or distribution facility.
