Expansion Pack, VP of Employee Experience (Remote, Americas)
Job Description
Employee Experience connects Shopifolk (Shopify employees) to our mission, to their work, and to each other. We provide a wide variety of programs, projects, and services to Shopifolk including, but not limited to: Bursting (gathering IRL for multi-day touchpoints), Ports (physical spaces to Burst in), the Digital Experience including home setups, Broadcast and Technical Infrastructure, Physical Security, Employee Travel, Health and Safety, and Events.
We're searching for an Expansion Pack (EP) to support our VP, Employee Experience. This role would be similar to an Executive Assistant role but we’ve changed up the title because "assistant" is too narrowly focused. At Shopify, we call them Expansion Packs. Regardless of title, this role will work to increase the efficiency of the VP, Employee Experience by strategically managing their day-to-day functions, as well as providing support to the Employee Experience team. This role is more than administrative support; this person will leverage their unique skills and strengths to help scale the impact the Employee Experience team has at Shopify.
Qualifications
RESPONSIBILITIES:
Proactively manage the VP of Employee Experience's calendar by anticipating needs.
Booking travel and accommodation.
Claiming expenses.
Manage meetings and rituals such as updates, agendas, note taking, and action items.
Support the development of communications or presentations.
Support onboarding for Sr. Leads and above in Employee Experience.
Attend meetings as needed on behalf of VP, Employee Experience.
Support hiring processes in collaboration with Talent on behalf of Employee Experience and/or Leadership.
Contribute and champion project work that supports and enables Employee Experience and/or the VP, Employee Experience.
REQUIREMENTS:
Apply best practice and Shopify context to tasks and solutions with minimal to no direction.
Completes tasks and activities with minimal structure.
Delivers high quality work and demonstrates detail in execution.
Develops professional relationships with Executives/VPs & leadership teams.
Sets an example for others by truly embodying Shopify values and rules of engagement.
Strong communication skills (written and oral). You’ll work with many different stakeholders, internally/externally and will be drafting communications for all audiences.
Ability to handle sensitive material and information with discretion and confidentiality.
Strong administrative and organizational skills.
Proficient in Google Suites.
Experience and interest in event planning (i.e. meetings, homesites and Bursts).
Demonstrated ability to manage competing priorities and make decisions on behalf of another individual or group when necessary.
Demonstrated ability to be agile, resourceful, and proactive while remaining efficient.
A can-do attitude and a team player willing to go the extra mile to get the right answers.
Thrives on change and the opportunity to work in an ambiguous ever-changing environment.
Someone who enjoys being challenged and who is comfortable both receiving and providing feedback to help action improvements to operational challenges.
VP Employee Experience works in the Pacific Time Zone. While the candidate does not need to reside in the Pacific Time Zone, availability during those hours is ideal.
The team will meet in real life several times per year for multiple days at a time. The EP will need to be available to travel to these events.
