The office coordinator will primarily be responsible for all administrative tasks and overall operations of the office. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
Reports to: Controller
Responsibilities:
As an Accounts Payable Associate & Project Administrator, your responsibilities will include but are not limited to:
- Issuing and managing purchase orders for Residential, Commercial, Warranty, and Furnish projects.
- Managing vendor relationships, including subcontract agreements, insurance certificates, and W9 forms.
- Monitoring vendor insurance certificates and following up on expired certificates.
- Recording payables accurately in QuickBooks/BuilderTrend, cross-referencing pricing with purchase orders, and obtaining necessary approvals.
- Tracking material orders and returns from various sources.
- Preparing and processing check runs, as well as distributing or mailing checks.
- Entering credit card charges into QB/Ivy and ensuring proper documentation.
- Reconciling credit card statements for Visa and AMEX cards.
- Assisting in the administration of residential and commercial permitting processes.
- Compiling warranty documents for new Homeowner Binder/Box.
- Providing occasional phone support to the office.
- Creating credit applications and submissions for new material vendors.
- Generating cost-to-complete reports for Residential project managers on a regular basis.
- Creating job cost reports and P&L statements for project managers monthly.
- Reviewing A/P Aging detail report on a quarterly basis.
- Assisting with miscellaneous projects and accounting tasks as directed.
Qualifications:
To be successful in this role, you should possess the following qualifications:
- Previous experience in accounts payable, project administration, or related fields.
- Strong organizational skills and attention to detail.
- Proficiency in QuickBooks/BuilderTrend and Microsoft Office Suite.
- Excellent communication and interpersonal abilities.
- Ability to multitask and manage time effectively.
- Problem-solving skills and a proactive approach to tasks.
- Knowledge of financial and accounting principles.
- High level of professionalism and integrity.
