    Job Description

    Shute, Mihaly & Weinberger LLP, a San Francisco green-certified business, is a mid-sized, socially and environmentally progressive law firm in Hayes Valley. We offer a friendly work environment in converted Edwardian offices. The firm primarily represents public agencies and community groups in land use and environmental matters.     The firm has an opening for a full-time entry-level administrative assistant. The work schedule will be Monday through Friday, 8:30 am to 5:00 pm. The candidate will perform a variety of clerical duties, and provide backup reception coverage and administrative support to the firm’s legal secretaries, paralegals, and accounting coordinator. Our ideal candidate is someone newly graduated from high school or a current college student looking for full-time employment and interested in working in a legal environment.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

     

    • Administrative assistance to the firm’s legal secretaries including photocopying, filing, and preparation of mail and expense claims;
    • Administrative assistance to Accounting/Records Coordinator and our Paralegals, including typing and formatting documents, data entry, document management, and other special projects as required;
    • Assisting secretaries with court filings as needed, including delivery of papers to San Francisco courthouses or other organizations within walking distance of the office;
    • Light typing, document organization/maintenance;
    • Preparing documents for mailing for service to the parties;
    • Preparing packages for FedEx and dropping them off when needed;
    • Creating Outlook contact cards for the law clerks;
    • Creating hearing binders for the attorneys;
    • Burning flash drives;
    • Converting Word files and newspaper articles to PDF and compiling articles for weekly reading;
    • Assisting attorneys with projects when needed. (recycling, compiling mail, printing documents);
    • Other clerical duties or special assignments under the direction of the secretarial workflow coordinator or other legal secretaries;
    • Sending documents for signature using Adobe Sign;

     

    KNOWLEDGE, SKILLS, ABILITIES REQUIRED:

     

    • High school graduate;
    • Proficient in Microsoft Office applications;
    • Good communication skills, both verbal and written;
    • Good attention to detail;
    • Ability to multi-task, follow directions and meet deadlines;
    • Enthusiastic and open to learning new skills;
    • Prompt, dependable;
    • Flexible—occasional overtime may be required;
    • Handle/lift objects on a regular basis that may weigh 25 pounds or more.
