Operations Assistant at Wealth Management Firm We are hiring an in-person, administrative assistant at our wealth management firm, either full-time or part-time. The ideal candidate has exceptional attention to detail, prefers working within a small team, and enjoys taking on a role that encompasses a variety of disciplines, such as operations, client service, compliance, & marketing. It's also helpful if the candidate has experience with financial advisory firms, in their past work history or otherwise. Compensation: $45k-$70k based on experience Projects & Duties: · support advisors with general client service & office tasks · CRM database & workflow management · prepare & send forms via DocuSign to open client accounts & process client money transfers · scanning & electronic file management · gathering quarterly & annual compliance data · processing quarterly client fees · sending individual emails & birthday cards to clients · sending broadcast communications to firm clients & prospects · monitoring & helping implement firm marketing initiatives · trading for client accounts (only in a very limited clerical capacity per advisor instructions) Required Skills: · resourcefulness with getting answers to problems that arise (Googling, knowing who to call, etc.) · proficiency in using a PC, especially Microsoft Word, Excel, Outlook, and Adobe Acrobat · experience with using a scanner to digitize files (Fujitsu ScanSnap Manager) Competencies: · detail oriented · tech savvy · self-motivated · effective oral & written communication Relationships: This assistant will primarily be working with Josh, one of the three owners of the firm. Josh will provide direction regarding work projects and will be the main point of contact during the day. While helping support the team's success across multiple aspects of the business, the assistant will report directly to Josh, and will also have regular indirect exposure to the other partners, Sam & Matt, as well as compliance officer, John. Location: Work will be in our dog-friendly office, currently at 5 Commonwealth Rd, Suite 3A, Natick (moving 1 mile away to 434 Old Conn Path, Suite 3A, Framingham in May/June). The assistant will have her/his own desk near the advisors' offices. Signal Ridge is a low-traffic office - few clients come into the office for meetings. Business casual attire is expected. While getting up to speed during the first 6-12 months, remote work will not be possible; transitioning to a partially remote schedule may be discussed after showing proficiency in the role. Rough Timeline: Initial screens will be conducted during early-March, then video interviews via Zoom call will be scheduled, and the top 1-3 candidates will be invited into the office to meet the team in-person and answer any questions. Our intention is to make a job offer to a top candidate by late-March. The ideal start date of employment is April 3rd.
