FULL DESCRIPTION: THE HR OPERATIONS SPECIALIST IS A KEY POSITION IN HUMAN RESOURCES OPERATIONS AND IS HIGHLY INVOLVED IN THE OPTIMIZATION OF NEW SYSTEM LAUNCH, ONGOING MAINTENANCE, AND CONTINUOUS IMPROVEMENT AS WELL AS SYSTEMS AND BUSINESS PROCESSES IN SUPPORT OF EFFICIENT, RELIABLE, AND HIGH-VALUE HUMAN RESOURCES SERVICES. UNDER THE GENERAL SUPERVISION OF THE HR OPERATIONS DIRECTOR, THE INCUMBENT PROVIDES DAY-TO-DAY FUNCTIONAL SUPPORT FOR MULTIPLE COMPREHENSIVE HUMAN RESOURCE INFORMATION SYSTEMS AND IS RESPONSIBLE FOR COMPILING DATA AND CONDUCTING RELATED ANALYSES. ADDITIONALLY, THE INCUMBENT WILL ENSURE EFFECTIVE BUSINESS PROCESSES AND OPERATIONAL EFFICIENCIES, ENHANCE CUSTOMER EXPERIENCES, AND IMPLEMENT TECHNOLOGY SOLUTIONS AND/OR ENHANCEMENTS ACROSS SYSTEMS AND PROGRAMS WITHIN THE COMPANY'S GLOBAL HR.
The selected candidate will further possess:
- Proficiency with developing queries and analyzing data from human resources information systems, preferably ADP and/or Workday.
- Prior experience in system implementations and upgrades preferred
- Ability to work accurately with good attention to detail
- Ability to work well in busy conditions and to operate effectively within a team or independently
- Ability to prioritize work to meet tight deadlines
- Ability to influence and lead others
- Ability to communicate effectively both verbally and written
- Ability to establish good working relationships with a variety of people
- Strong administrative and organizational skills
- Superior analytical skills, including a high-level of expertise with Microsoft Excel.
- Curiosity and capacity to actively engage in problem-solving and business process improvement
The selected candidate will be responsible for the following:
- Use multiple HR systems to record information, train other systems users, generate reports and update, complying with Data Protection, and associated internal SLAs.
- Gather requirements, collaborate on design, configure, test, troubleshoot, deploy, and optimize multiple HRIS functionality and other HR related systems such as ADP and Quantum.
- Produce HR metrics and reports within specified timescales to ensure SLAs are met, to support the business in driving performance.
- Collaborate with other HR team members and end users to identify systems gaps and effectively and efficiently develop solutions.
- Establish and administer system quality control standards and processes to ensure HR system processes meet the requirements defined by HR leaders.
- Monitor and assure data integrity of internal HR systems and databases; partner with internal company IT as needed.
- Configure HRIS setup when needed; develop and execute to timelines
- Leverage excel skills to pull and integrate data from various systems for reports that help influence business decisions, and identify opportunities to evolve future iterations of these reports.
- Work in very close partnership with European/US HR Operations to ensure global lens is applied to data analysis work.
- 33% OF TIME - Coordinate content updates for company intranet (Pulse) by collaborating with marketing and other internal functions to ensure accurate and timely internal content for robust employee communication.
- Maintain the visual design, site navigation and site content in addition to coordinating key stakeholders (internal and external support agency)
- Gather and update content within Pulse categories including dashboard, news, video for Pulse TV, good news stories,
- Coordinate appropriate communication activities around new content and level of additional notifications (email, SMS texts, Push Notifications via app).
- Review Pulse employee forum groups to support new tools and ideas as Pulse evolves.
- Monitor site analytics and report on key performance indicators (KPIs).
- Ensure proper coordination between the IT Department and digital support agency and liaise where required on technical questions and upgrades.
- Manage common administrative tasks within the content management system (CMS) of Pulse, as the primary administrator of the site and support of the HR teams as the "super user" of the system.
- Communicate actively with all main stakeholder and user groups.
- Monitor employee forum areas for appropriate content and workplace practices.
