    POSITION SUMMARY

    Skills RI is looking for an Executive Administrative Support Specialist that will provide organized support to the Executive leadership team and provide overall logistical support to the organization.

    This is a hybrid position that will require regular attendance at our physical location in Providence, Rhode Island.

    RESPONSIBILITIES

    • Support daily schedule for the Executive team.
    • Serve as confidential staff member to the Executive team.
    • Support communication between the Executive team and Board of Directors.
    • Maintain a long-term strategic calendar of upcoming events and travel requirements.
    • Resolve meeting conflicts that occur on the Executive teams schedule and/or room schedule.
    • Serve as a scribe for internal and external meetings.
    • Compile and maintain an organized list of the Executive teams contacts.
    • Perform administrative tasks, such as internal/external communication, organize and advance agency events, support board meetings, etc.
    • Attend meetings along with or on behalf of the Executive team, taking comprehensive notes.
    • Monitor incoming communication and relay important messages to the Executive team.
    • Respond on behalf of the Executive team as directed.
    • Use discretion in determining priorities for various meetings.
    • Maintain strong working relationships with internal staff and external clients.
    • Use discretion in gauging the Executive teams workload and availability.
    • Perform other duties as assigned.

    • Ability to organize and prioritize work while accomplishing goals under tight time constraints
    • Ability to communicate professionally across a broad range of constituent groups
    • Strong interpersonal skills including relationship building, customer service, empathy, and resilience
    • Ambitious, proactive, and detail-oriented
    • Strong documentation skills, and able to make connections between similar problems
    • Willingness to work hard, maintain a positive attitude, and overcome challenges
    • Solution-oriented problem-solving skills with the ability to prioritize according to business goals
    • Conviction, integrity, honesty, and maturity in all situations

    QUALIFICATIONS

    • At least two years of demonstrated experience supporting an Executive.
    • Demonstrated proficiency in Microsoft Suite, Adobe PDF, database management, and scheduling tools.
    • Demonstrated ability to write and communicate to a high professional standard.
    • Must be available for occasional events held outside of work hours.
    • Bilingual a plus.
