    WE ARE SEEKING AN ADMINISTRATIVE ASSISTANT FOR OUR OFFICE IN FARMINGTON HILLS, MICHIGAN, to support our managers, estimators, sales team, and field crews. The ideal candidate has excellent oral and written communication skills and the ability to organize work using tools such as Salesforce®, Foundation (accounting software), Microsoft Excel, Word, and office equipment. Previous experience as a secretary or administrative assistant and familiarity within the construction industry is a plus. Ultimately, a successful Administrative Assistant ensures efficient and smooth day-to-day operations of our office.

    We are looking to grow our team to complete projects in the Detroit and Ann Arbor areas.

     

    RESPONSIBILITIES:

    • Answer and direct phone calls.
    • Organize and schedule appointments.
    • Plan meetings and take detailed minutes.
    • Assist in the preparation of regularly scheduled reports.
    • Develop and maintain a filing system.
    • Update and maintain office policies and procedures.
    • Order office supplies.
    • Maintain customer data base.
    • Provide general assistance to visitors.
    • Coordinate with executive and senior administrative assistants to handle requests and queries from senior managers.
    • Run errands for supplies, etc.
    • Coordinate events, functions on behalf of Sales and Project Mgrs.

     

    SKILLS AND QUALIFICATIONS:

    • Proven experience as an administrative assistant.
    • Knowledge of office management systems and procedures.
    • Accounting entry experience a plus.
    • Working knowledge of office equipment, such as printers and fax machines.
    • Proficiency in Salesforce, Accounting software experience, Microsoft Office (Excel and PowerPoint, in particular).
    • Excellent time management skills and the ability to prioritize work.
    • Attention to detail and problem-solving skills.
    • Excellent written and verbal communication skills.
    • Strong organizational skills with the ability to multi-task.
    • High school diploma. (College courses preferred)

    • Running business related tasks
    • Answering and routing phone calls
    • Communications
    • Greeting visitors
    • Setting up Sales Mtgs and Presentations
    • Create and maintain employee files.

    ·       Project File Maintenance – maintain project files.

    ·       Assist in prequal submissions.

    ·       Assist GF in preparing each new project with appropriate safety forms.

    ·       Assist with bonding requirements.

    ·       Assist MMI Team in auditing projects when needed.

    ·       Office supplies  

    Financial Duties:

    • Invoicing
    • Time & Material Admin
    • Accounts Receivable
    • Job cost reports for Managers
    • Enter all new jobs, change orders within Foundation.
    • Payroll oversight and entry

    Schedule:

    • Monday to Friday 7:30am to 4pm
