    Immediate Opening for an Executive Assistant in Irvine, CA who possesses:

    • Educated to degree level or equivalent.
    • Experienced Personal Assistant at senior management level.
    • Experience of Outlook electronic diary management.
    • Ideally has experience working in a CPA environment or professional service company.
    • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external.
    • Excellent Time Management skills, including a working knowledge of Microsoft Office Word, Excel and PowerPoint.
    • Plus - would be some working knowledge of QuickBooks

    Position Description

    • Manage Director’s electronic diary, assessing the priority of appointments and reallocation as necessary. Schedule Zoom or Team meetings.
    • Maintain all personal accounting of Director including all side businesses on QuickBooks and Excel.
    • Manage any Director’s travel arrangements
    • Process Director’s correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff as appropriate.
    • Maintain Director’s office systems, including data management and filing.
    • Maintain records of the Director’s contacts.
    • Screen calls, inquiries and requests, and deal with them when appropriate.
    • Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
    • Produce or maintain documents, client tax workpapers, reports, and time records for the Director.
    • Organize meetings and ensure that the Director is well prepared for those meetings, preparing any needed agendas, pre-meeting briefings, and meeting workpapers.
    • Review all emails for accuracy and make sure XCM is maintained properly and that tax returns are delivered to clients timely.
    • Meet and greet clients when visiting the office.
    • Availability on off-hours as needed as emails require response times throughout the day and we have clients throughout the world.
